AP Payroll Accountant
The Finance Associate - Accounts Payable has primary responsibility for the accounting and administration related to accounts payable, notes payable and payroll and other duties as assigned. REPORTING RELATIONSHIPS The position reports to the Controller but will work closely with the Finance Associate - Accounts Receivable, the Director of Finance and Administration and will interact with other LIIF staff and outside parties. MAJOR DUTIES AND RESPONSIBILITES Accounts payable receive invoices; review for accuracy; obtain appropriate approval per LIIF guidelines; review/assign expense code; enter into A/P; process weekly check run and/or disbursements through BAMTRAC; file invoices and/or wire transfers follow-up/resolve vendor account problems update cash receipts / cash disbursements journal for all disbursements (excluding RLF loan fundings) maintain appropriate audit trail files maintain purchase order and check logs prepare annual 1099s for consultants and interest payments to individuals; prepare filing to IRS perform month-end reconciliation of A/P subsidiary ledger to G/L and prepare journal entries as appropriate (correction of coding errors, for e.g.) prepare audit schedules related to accounts payable Other payables process disbursements for HUD Mark-to-Market sub-recipient grants; RLF participants including LIMAC and UMC; MOCD/Section 108 subsidy payments; maintain subsidiary ledger for accrued expenses; month-end reconciliation to G/L prepare monthly disbursements journal entry for impound accounts Notes payable maintain subsidiary ledger for notes payable; prepare check requests for periodic interest payments as required; prepare check and/or wire requests for principal paydowns as required perform month-end reconciliation of notes payable subsidiary ledger (interest and principal) to G/L prepare monthly aging of notes payable and calculate weighted average term of borrowed capital for the portfolio prepare RLF funder renewal letters for current notes payable for review by Controller and Director of Finance and Administration and monitor response create file for new RLF funders and prepare monitoring summary; close out repaid RLF funder files maintain corporate legal files for RLF funders in consistent, organized fashion maintain a master schedule of reporting requirements for all RLF funders (borrowed and contributed capital) support quarterly reporting to RLF funders and maintain accurate mailing list for all active RLF funders prepare audit schedules related to notes payable Other RLF maintain capital grant subsidiary ledger perform month-end reconciliation of subsidiary ledger of temporarily restricted net assets to RLF to G/L complete RLF Participants report each month Contract compliance: maintain contract files for consulting agreements, LIIF service contracts and grant agreements ensure disbursements are in compliance with applicable consulting agreement, service contract or grant agreement maintain subsidiary ledger for receipts and disbursements under U.S. Department of Housing and Urban Development Payroll and Benefits prepare and fax bi-monthly payroll, reconcile and present to Director of Finance and Administration for review and approval, distribute to employees, file payroll and supporting documentation in appropriate files reconcile monthly 401(k) deductions to payroll records; calculate monthly employer match and prepare monthly disbursement to 401(k) plan (employee and employer deferrals) by end of the first week of the month for the previous month
Qualifications :
SKILLS REQUIRED The position requires (1) proficiency in G/L accounting software (MIP preferred), Word, Excel, Microsoft Outlook; familiarity with Access and/or other databases a plus; (2) strong analytical skills; (3) accuracy, attention to detail and ability to meet deadlines; (4) excellent communication skills, verbal and written; (5) ability to work under presssure and in a fast-paced environment; (6) ability to manage multiple projects; negotiate competing priorities. EDUCATIONAL AND OTHER REQUIREMENTS A bachelor's degree in accounting or equivalent experience is required. The position is demanding and requires self-motivation, an attention to detail and a team approach to working with all Finance staff in managing the work of the department. Direct experience with accounts payable, notes payable, general ledger accounting including account reconciliation and month-end close required. Individual will be committed to LIIFs mission.
