POSITION DESCRIPTION

BOOKKEEPER

 

Status:  Exempt

Full Time

Reports to:  Owners

 

General Description:  Responsible for the processing of accounting information and preparation of accounting reports.  Responsible for the interface from and to the Project/Service System.  Maintenance and payment of standard Federal and State tax and payroll reports.

 

Duties include, but are not limited to:

 

General:

1.  Preparation of ad hoc reports from accounting records as requested by Management.

2.  Lookup and interpretation of accounting information to authorized individuals.

3.  Maintenance of physical and computer files associated with Accounting.

4.  Supervision of persons performing clerical functions for Accounting.

5.  Identification of problems/recommendations relating to Accounting controls and operations.

6.  Day-to-day interface with Accounting vendors (payroll; Tax, Audit and Writeup CPA(s); Financial Institutions).

7.  Other duties as directed by direct supervisor.

 

A/P and Purchasing:

1.  Input of invoices and preparation of cash requirements reports.

2.  Negotiation of terms with vendors.

3.  Recommending payment based on cash balance, invoice terms, etc.

4.  Follow up to ensure all invoices are properly approved.

5.  Payment of approved invoices in accordance under direction of owner.

6.  Preparation of 1099s and collection/maintenance of ancilliary information.

 

A/R:

1.  Generation of invoices to customers in accordance with specific requirements.

2.  Generation of aged A/R report.

3.  Direct follow up on payment with assigned accounts, and generation of backup information for others performing collection functions.

 

Payroll:

1.  Submittal of biweekly payroll to service bureau.

2.  Collection and maintenance of personnel information related to payroll.

3.  Payment of payroll taxes.

4.  Generation of payroll-related reports, as needed, to Federal and State tax departments, and insurance providers.

 

 

 

Fixed Assets and Inventory:

1.  Maintenance of fixed assets/depreciation ledger.

2.  Maintenance of finished goods and work in process inventory records.

 

General Ledger and Reporting:

1.  Posting and reconcilement of subsidiary records to the general ledger.

2.  Preparation of draft monthly trial balance and submittal of general ledger to outside CPA for compilation.

3.  Generation of draft monthly P&L and Balance Sheet for internal use.

4.  Input of CPA-supplied adjustments and generation of final P&L and Balance Sheet.

5.  Preparation and generation of annual monthly budget.

6.  Maintenance of cash budget.

 

Minimum Qualifications:

 

2 year degree in Accounting or equivalent.  A basic prescreening examination in Accounting will be administered to interviewees.

Proficiency in Quickbooks Pro or equivalent system.

Ten key by touch.  Computer literacy including Excel, Word, and Outlook.

Good oral and written communications skills.

Construction and Federal Government industry experience a plus.
