My client is looking for a full time bookkeeper with an Associates degree or better.

The BOOKKEEPER is responsible for all administrative functions related to posting and tracking accounts receivable and accounts payable, and ensuring an efficient staff payroll system.  The bookkeeper administers all account-based processes, paperwork and records.  The bookkeeper also prepares accurate accounting reports as requested for agency management. 

The bookkeeper is involved in administration of group benefits, and may be asked to provide materials and support to the president in agency management committee meetings.  The bookkeeper also provides support to the agency media department.

Duties?Accounts Receivable

?  Assists in or oversees generation of media or production invoices.

?  When a job is ready to bill, pulls billing file/jacket and project fees; ensures all timesheets are up to date, creates billing worksheets.

?  Ensures markups on all expenses related to client billing are calculated correctly. 

?  Seeks to close the month?s billings by the 10th of the following month.

?  Monitors accounts receiveable and produces aged listing for review by the president by the 20th of the following month. Provides early warning if a problem becomes visible.

?  Records deposits to client records and bank accounts. Files check stubs and makes deposits.

?  Pulls all supplier invoices from accounts payables files and attaches to specific client invoices.

Duties?Accounts Payable

?  Authorizes or obtains authorization on purchase orders (POs) for any purchases related to billable and non-billable work, keeps track of these POs in sequence for later matching to supplier invoices.

?  Receives supplier invoices related to billable and non-billable work and/or supplies, matches them to PO. On a weekly basis, enters all approved media and project-related supplier invoices to accounts payable records and purchase journal, and files for later retrieval.

?  Enters these supplier invoices to purchase journal/supplier records. Ensures project numbers are referenced with purchases for billing purposes.

?  Sets supplier invoices aside for check run (twice a month), and brings any payables requiring urgent payment to the attention of president for immediate payment.

?  Monitors aged payables, prepares report for president to approve payments, and ensures payments to suppliers are made. Learns which suppliers must receive priority payments, and ensures they are flagged for timely payment.

?  Monitors how much client has paid agency versus how much has been paid to related suppliers, to minimize cash flow problems.

Duties?Media

?  Cross-references all media receivables and payables to ensure timely payment of media suppliers. 

?  Maintains tearsheet files and media invoice files. Copies media invoices for clients and co-op submissions as needed.

?  Retrieves electronic media invoices and imports them into agency media software (Strata SBMS). Enters data from paper invoices into Strata.

?  Conducts media post-buy invoice reconciliations using Strata, matching ad/spots ordered against ads/spots invoiced. Prepares media credits due to clients for credit invoices.

?  Discusses and resolves media discrepancies and makegoods with media buyer and vendors; ensures positive relationships with vendors are maintained throughout this process. Obtains credits from vendors when applicable.

?  With media buyer, ensures all media-related processes are carried out correctly and on time.

Duties?Payroll and Benefits

?  Records hours relating to vacation, sick leave, holidays, and overtime. Calls in payroll to external service twice a month. Makes accounting entries related to payroll.

?  Calculates payroll deferrals and withholdings related to insurance premiums and 401K.
