Project Collections Coordinator

 

 

Reports To (title):

Collections Manager or Assistant Collections Manager

 

Responsible for collection of outstanding accounts receivables within the assigned District. At this level, the Project Collections Coordinator typically handles accounts in early stages of delinquency.

-

Contacts clients to obtain payment of outstanding accounts receivables and remedy delinquency or non-payments.

Makes daily bank deposits for the District.

Prepares and updates collection reports (Excel) on a weekly basis or upon special request.

Files liens when necessary.

Files small claims when necessary.

-

Maintains client files and follow-up notes.

-

Verifies all cash receipts daily (when applicable) and posts into project accounting/financial system.

Prepares all adjustments and processes into project accounting/financial system.

-

Communicates directly with technical and administrative managers regarding collections issues. Attends bi-weekly Managers meeting to update on collections issues.

Establishes good working relationships and maintains communication with technical staff, District Administrative Manager, Project Analyst, and Corporate Collections Supervisor and Manager. Develop relationships with accounting personnel at our clients.

Performs other such duties as the supervisor may from time to time deem necessary.

Moderately complex, relatively standardized tasks, processes and procedures.  Typically handles accounts in early stages of delinquency.

 

DECISION-MAKING (Supervision received; independent judgment or initiative; consequence of error):

Works under immediate supervision, following instructions or clearly established procedures and guidelines.

 

INTERNAL CONTACTS (Required interaction/relationship with others within the organization):

Communication with the technical staff, financial staff, Project Analysts, and Corporate Collections Manager on a daily/weekly basis.

 

EXTERNAL CONTACTS (Required interaction/relationship with others outside the organization):

Clients and public/government agencies.

 



EDUCATION AND EXPERIENCE

High School graduate with some college courses and four years of office experience, preferably in Accounting, or Associates degree in Math or Accounting and two years? specific accounting experience. Knowledge of Lien Law and Small Claims procedures preferred.

 

SPECIAL SKILLS

Proficiency in Microsoft Word and Excel.  Job requires excellent interpersonal skills.

 



Ability to communicate clearly and effectively over the phone.  Manual dexterity to operate keyboard.
