Controller/Administrative Assistant

Nay Associates is looking for an individual for a small office setting to perform complete accounting, office management, and administrative assistant duties for the owner at his Burlington, MA office. R. H Nay Associates is a growing established high-end custom residential builder for over 13 years.



Job Description for Controller/Administrative Assistant



-Perform all company accounting work including A/R, accounts payable, general ledger, month and year end reporting. R. H. Nay Associates uses 'Master Builder' construction management software for both accounting and project management.



-Communicate with clients and prospective clients in support of new and current business using phone, fax, and e-mail.



-Forward payroll inputs to payroll sub-contractor.

-Prepare client job status reports.

-Handle office supply inventory.

-Compile and maintain company records.

-Work with owner to streamline and improve company processes as needed.

-Setup, attend, and prepare meeting notes of client site meetings.

-Track and monitor charges for Nextel, Vehicle, Tools, Postage, and other expenses.

-Maintain certificates of insurance.

-Handle a variety of basic office tasks such as filing,faxing, and copying etc.



Qualifications



-Applicant must have 7 to 10 years of relevant experience.

-A Bachelor's Degree in Accounting.

-A working knowledge of the construction industry.

-High standards of quality and personal integrity.

-Must have strong interpersonal and written and oral communications skills.

-A strong background of computer application skills needed (Windows, MS Word, MS Excel, and accounting software).

-Motivated to grow within the function and company.

-Strong organizational and multitasking skills a must.

-Able to thrive under pressure.
