Drop Ship & Repair Specialist

Butler Animal Health Supply is the national leader in the sale and distribution of pharmaceuticals, specialized pet foods, medical supplies and equipment to the veterinary industry.  We are currently seeking a Drop Ship & Repair Specialist for our Dublin, Ohio corporate office. 

 

Candidates must have:  High school diploma or equivalent; minimum of 2 years progressively responsible accounts payable experience; Prior purchasing experience and/or knowledge of inventory control highly desirable;  Familiarity with mainframe accounts payable systems in an AS/400 environment preferred.  Demonstrated proficiency with Microsoft Word and Excel as well as email applications required.  Familiarity with an ERP Software system is highly desirable.  Familiarity with basic copier, fax, telephone and printer required. 

 

Responsibilities for this position include:

 

?  Generates drop ship and repair order customer invoices to ensure meeting daily, weekly, and monthly goals within the vendors invoice terms by matching the vendor?s product invoice, corresponding purchase order, and customer order.  Add all applicable shipping charges and associated fees to each customer order before billing.

 

?  Amends any price discrepancies on drop ship and repair Purchase Orders after verifying correct cost through a variety of sources, i.e. vendor, TSR, TM, or Purchaser.  Make all necessary changes prior to billing the customer.

 

?  Generates all credits by creating a Return Authorization.  Creates Vendor Returns to ensure cost flows correctly through Accounting.

 

?  Creates miscellaneous billings and credits to customers when necessary. 

 

?  Researches and resolves all drop ship and repair order discrepancies including vendors? shipping errors. Communicates with vendor, branch personnel, purchasers, telesales, outside sales, and other corporate departments as necessary to correctly resolve discrepancies.

 

?  Assists all departments and regions with Proofs of Delivery, freight clarifications, and Drop Ship Return Authorization Requests.  Fields phone calls and questions from internal customers in a timely and effective manner.

 

?  Creates Debit Memos when necessary to deduct invoices from Butler?s vendor account.  Distributes the debit memo to the appropriate A/P Specialist to ensure appropriate vendor account adjustments.

 

?  Codes all vendor invoices and vendor credits with appropriate General Ledger codes to ensure proper accounting.

 

?  Balances all drop ship vendor statements monthly before sending to Accounts Payable for payment processing.  Provides all related documentation to A/P for auditing and tracking purposes, including but not limited to:  Butler PO, CO, RA#, VR#, and/or vendor original invoice#.

 

?  Routinely performs system tasks necessary to automatically receive-in Purchase Orders for drop-ship items throughout the day and resolves any discrepancies.

 

?  Assists with Special Projects and tasks related to drop ship orders.

 

?  Assists in the development of efficient and effective drop ship and repair order policies and procedures.
