Finance/Office Manager

Junior Achievement of Eastern Massachusetts, Inc. seeks a full time Finance/Office Manager to work in its Boston Office.  The Finance/Office Manager will be responsible for the daily operations of both finance and administration within the organization.  The position will include all bookkeeping and accounting functions as well as day to day office management.  . PRIMARY ACCOUNTABILITES:

 

1.  Financial reporting- Provides accurate and timely financial information to senior management.  Maintains current status on cash, receivables, payables and year to date contributions.  Prepares monthly financial statements, income, expense and balance sheets.  Compares budget with variance analysis and recommends action.  Gathers revenue and expense information needed to prepare the annual budget, and for analysis and Board meetings.  Maintains Peachtree Accounting Software.  Reconciles Peachtree Accounting Software to Raisers Edge monthly to ensure correct reporting of revenue accounts.

 

2.  Money Management- Maximizes cash utilization. Assists in investment strategy to meet revenue goals. Develops cash flows projections. Manages cash and disbursement accounts.  Makes timely payments of debt.  Manages entire accounts payable and pledge receivable processes.  Works with vendors and donors as necessary.  Oversees invoicing for all outstanding pledges. 

 

3.  Manages banking relationships.  Prepares reconciliation of all bank and investment accounts.  Provides updated information on Endowment donors and receivables.  Maintains petty cash. 

 

4.  Responsible for all payroll transactions.  Utilizes Paychex for payroll services.  Reconciles payroll reports to General Ledger semi-monthly following each payroll cycle.

 

5.  Maintains Restricted Fund accounts.  Ensures that funds are utilized for restricted account purposes.

 

6.  Assist special events with budgeting and maintaining financial management of events including; cash flow projections, tracking of revenue, invoicing, in-kind contributions.

 

7.  National and Legal Compliance- Maintains compliance to JA National and to government agencies.  Adheres to National?s deadlines for annual report, one-page financial statement, and contribution receipts.  Complies with legal filings for IRS 990(completed by CPA firm), 941, W-2?s, 1099?s(all completed by Paychex) and other city and state documents.  Schedules and coordinates annual audit by CPA firm.  Prepares and provides CPA firm all financial information.

 

8.  Human Resource Administration- Maintains current personnel files, attendance records and vacations.  Provides current information to National on status of new and terminated employees, salary/other personal changes and insurance enrollment.  Communicates updated personnel policy information to employees.  Maintains personnel information systems.  Provides timely advice regarding adherence to established Junior Achievement policies. 

 

9.  Board Committees- Assists in all Financial related Board Committees in carrying out their specific functions so the goals of the Board can be achieved.  Prepares materials for Committee meetings.

 

10.   Development- Assist development as needed on Grant budgeting and reporting.

 

11.  Manages all facets of office management but not limited to ordering office supplies, ordering JA materials as needed  i.e. business cards, letterheads, maintaining postage meter and account, distributing in-coming mail, responsible for general office environment being kept clean, organized and professional.  Assists other staff members with phone responsibilities and mailings as necessary.

 

Requirements:

 

All Candidates must posses a Bachelors Degree, preferably in accounting.  All candidates must have working knowledge of non- profit or small business accounting and must have familiarity with audit procedures. Must have at least 3 years of accounting/ bookkeeping experience.  Must be proficient in Microsoft office especially Excel.  Requires working knowledge of an automated accounting system, preferably Peachtree as well as an automated donor database, Raiser?s Edge experience helpful.  Experience with Human Resources and general office management preferred.

 

Candidates must be self-starters and must be able to work independently.  Must be able to work with all different levels of staff and constituents. Excellent interpersonal and communication skills needed.  Must have excellent time management skills, be well organized and able to manage multiple tasks while adhering to deadlines.
