PAYROLL CLERK

This is an entry level payroll position, but does require entry level to one year of Payroll clerical support experience.

 

Payroll experience keying into a system similar to Oracle. This person is to be a backup to payroll coordinator as well to perform clerical duties in the payroll department.

This person will have to match time and material sheets (sent in from the field) to the payroll spreadsheets sent in on Mondays. They will need to look for employee names and signatures as well as verify hours entered on these sheets. This is a tedious job, but very important. Other duties as needed will be assigned.

In addition, will be trained on the Oracle system payroll process. It would be helpful if familiar with ADP or some other type of payroll systems.

This will be a temp to hire position. Pay will be $25,000/hour during temp with potential for increase when hired.


Job Summary
Serves as backup to the Payroll Coordinator by processing weekly and biweekly payroll as needed. Administers the paper flow from the field areas by auditing the time sheets and Labor and Materials Reports received weekly. Audit includes checking for completeness and required signatures. Preparing payroll binders to obtain audit records for easy access when needed by corporate auditors. Prepare and maintain payroll records for storage. Answer employee questions as instructed by Payroll Coordinator by supplying information to field personnel as requested. Maintain and coordinate child support, garnishments and other submitted payroll deductions. Assist Human Resources Clerk as needed.

Essential Job Functions

1. Process weekly and biweekly payroll as requested by HR Manager to be performed a minimum of one time per month. Receive payroll spreadsheets from field personnel, verify totals and print Oracle payroll batch. Compare and balance spreadsheets to Oracle batches and direct fields to make any necessary changes. Enter any approved Time Pay Adjustments. Once all spreadsheets and Oracle batches are balanced process grand totals balancing sheet. Select current batches for transfer to Corporate Payroll Processor and email the grand totals balance sheet. Wait for successful transmission approval email.
2. Review timesheets and LMR?s for completeness, accuracy and required signatures. Compare adding machine tape on LMR?s to payroll spreadsheet and/or Oracle batch. Send any discrepancies back to field personnel for corrections or signatures.
3. File payroll runs in appropriate binder for auditing accessibility and to prepare for archives.
4. Answer payroll related personnel questions in regards to employee pay, child support and court ordered garnishments.
5. Review and audit Deductions Register related to assigned deductions transactions.
6. Assist HR Clerk with employee related personnel records and filing as requested.
7. Other duties as assigned.


Education and Experience
High school graduate or equivalent. Entry level to one year of Payroll clerical support experience. Good PC experience with intermediate level word processing and spreadsheets programs.
