Position Description:
The Manager for Contributions and Reconciliations (Manager) is responsible for ensuring the timely and accurate processing of all incoming contributions according to communicated expectations ($1.1B in 2005). The Manager will have responsibility for oversight of the National Financial Services (NFS) Branch located within Fidelity Charitable Services (FCS). Furthermore, the Manager is responsible for all cash, unit, and account reconciliation for the Fidelity Charitable Gift FundSM (Gift Fund) and other Fidelity programs, specifically iCare and Matching Gifts to Education. The Manager is expected to lead the team towards work organization, risk management, process improvement and the achievement of desired business goals and results. The position requires an individual with her/his Series 7, 9/10 (or 8) and 63 licenses, a strong understanding of service operations and the ability to manage priorities well. Candidates without a series 9/10 license will be considered, however will be expected to obtain those licenses within 3-4 months of hire into this position.
Primary roles and responsibilities:
Ensure the timely and accurate processing of all incoming contributions to the Gift Fund according to established policy and procedure, including the timely and accurate trading of contributed stock and mutual funds, as well as the liquidation and booking of restricted/control stock and other non-publicly traded assets, i.e., real estate
Oversight of all cash and security reconciliations for the Charitable Gift Fund and non-DAF Services, including cash and unit reconciliation of FBSI accounts associated with transaction activity, as well as reconciliation of FCS’ disbursement accounts and all outstanding grant checks, and other period reconciliations as necessary
Manage the NFS Branch operations within FCS, including the review of daily trade logs, written complaints, staff files and registrations, and department correspondence (including email correspondence), as well as ensuring contributed property is properly secured on the premises. Ensure that effective controls are in place to manage key risks
Manage a team of Client Services Representatives (CSR) (6), including goal setting, development planning, performance measurement monitoring (making adjustments or taking corrective action when necessary) and performance appraisals
Develop and maintain strong and effective business relationships with internal and external business partners, including Fidelity’s Capital Markets, NFS Margin, NFS Receive & Deliver, NFS Legal Transfer, Restricted Stock Services and TOA, as well as Mellon Bank (disbursement accounts vendor)
Identify and implement process improvements, procedural changes and system enhancements that can increase efficiency and/or mitigate risk to the organization. For system enhancements, work with FCS Business Analysts and Technology to develop requirements, test functionality and train associates
Generate daily and monthly reporting of contribution- and recon-related transactions to Sr. Management, including trade execution quality, as well as ad hoc reporting to manage workflow and productivity
Keep abreast of legislative changes impacting the charitable arena and implement/revise FCS procedures as necessary
Bachelor’s degree and 5+ years of service and/or processing experience in the financial services industry (including 1-2 years of people management or supervision) required; MBA preferred;
Series 7, 63, 9/10 (or 8) required, or at least have held the 7 & 63 for three years and be willing to obtain the 9/10 within 120 days of hire;
Branch Manager designation preferred, or must be willing to obtain;
Strong understanding of Fidelity’s brokerage systems (FBSI, RWOE, XTRAC) preferred;
Demonstrated ability to lead, manage and mentor associates in a dynamically changing environment;
Superior organizational, planning and time management skills;
Strong focus on the customer;
Proven experience identifying and mitigating areas of risk;
Strong and effective verbal and written communication skills;
Solid technical aptitude, including a proficiency in Microsoft Excel and Word;
Strong business acumen, attention to detail and analytical skills;
Work or volunteer experience in charitable services beneficial;
Ability to meet overtime commitments;
Work hours are MF 8:30–5:00, with extended night and weekend hours during high volume season (November-January).
