ADMIN COORDINATOR I
Under the direction of the Director, Technical Services and the Service Management Team, provides administrative support for the department. Performs duties such as: typing, copying, appointment scheduling, communications between departments, travel arrangements, establishing and maintaining filing systems, and other duties and projects as assigned by the Service Management Team.
Principal Duties and Responsibilities
1. Maintain correspondence within the company and between third parties and the Service Team by the following means telephone: answering and screening incoming calls and placing outgoing calls. Postal System: includes typing memos, letter, etc. and use the internal and external mail systems as well as delivering mail within the department. Fax: Includes transmitting outgoing as well as monitoring incoming faxes.
2. Maintain meeting schedules and calendars.
3. Coordinate and confirm travel arrangements.
4. Establish and maintain various filing systems.
5. Act as phone back-up in the following ways:
o Answer back-up calls in any incoming queue as requested.
o Various duties in maintenance of the service reporting system
6. Facilitate meetings as requested
7. Facilitate payment of incoming bills. Maintain filing of payments.
8. Process time sheets for Field Service and Cincinnati personnel
9. Facilitate expense reporting for related expenses
10. facilitate cell phone plans for department
11. order office supplies as requested
12. Manage JDE versus service system invoice matching
13. May perform other duties as requested by the Service Management Team.
Requirements:
Knowledge, Skills and Abilities Required
1. Must be detailed oriented with a high degree of organizational skills and be able to handle confidential materials
2. Must possess very strong PC computer skills.
3. Minimum of three years experience in similar or related work.
4. Ability to accomplish work independently and within teams.
5. Ability to set and meet deadlines.
6. Administrative and communication skills sufficient for coordination, planning, control, recordkeeping, and instructing acquired in secondary school, technical training, and college or work experience.
7. Ability to work with AS400 query tools.
