ADMINISTRATION/SUPPORT SPECIALIST

Admissions Support A leading provider of post-secondary career college education, is seeking a

can-do, energetic, and detail oriented Admissions Support team member with a positive attitude.



POSITION PURPOSE

The Admissions Support position is an integral part of the campus admissions process and regularly exercises discretion and independent judgment. The Admissions Support Department is responsible for the frontline customer service of current and potential clients, which includes greeting and welcoming students, answering and distributing telephone calls to appropriate representatives/staff, and routing internal and external materials to appropriate college personnel. The Admissions Support Department provides daily data entry and word processing support, and generates a variety of daily, weekly, and monthly lead and sales reports for upper management. Admissions Support is the first person that greets our prospective students when they visit or call the campus, and therefore must project an upbeat customer supportive attitude. Admissions Support is support personnel for the Director of Campus Admissions and assists the Director in a variety of tasks including memo writing, generating reports and other various administrative functions.

Minimum Job Requirements:

- Relevant work history in a front office environment

- Relevant work experience with a multi-phone line environment

- Candidate should have previous management experience

- Proven success in managing multiple on-going projects/programs

- Candidate should be a self-starter, capable of working with minimal oversight to reach deadlines, solve a problem, or meet a need.

- Willing to take a hands-on approach in managing on-going projects/programs

- Strong team player with the ability to work successfully with a variety of people

- Proficient with MS Word and Excel

- Strong database knowledge

- Strong work ethic

- Sense of urgency

- Knowledge: Proficient in Microsoft Excel, Microsoft Word, and general database knowledge.

- Skill: Data entry and multi-line telephone aptitude are mandatory.

- Education/Experience: Six months post high school training or one year receptionist, telephone and data entry experience required, OR high school diploma plus two years relevant experience.



ESSENTIAL PRIORITIES, DUTIES, AND RESPONSIBILITIES

? Greet and direct walk-in clients, vendors and visitors to appropriate departments.

? Answer and direct telephone calls to ensure quality customer service.

? Assign, enter and distribute all leads in a timely manner.

? Process applications immediately and enter information into the Application Log.

? Daily reconciliation of all leads including data accuracy.

? Provide support for special projects as assigned by the Director of Admissions such as assisting with various reports, memo writing, etc.

?Strict adherence to all processes and procedures set forth in the Campus Admissions Support Training Manual and other company policies.

?Daily and weekly generation of various lead and application reports.

?Adhere to all deadlines set forth by Corporate Admissions Administration.

?Opening and closing front desk station.

?Coordinate duties of other support staff and closely monitor their strict adherence to departmental and organizational policies.

?Demonstrated ability to make independent decisions regarding the evaluation of data to resolve problems that directly effect the organization.

?General filing/faxing/organizing and other related duties as assigned.



RESULTS REQUIRED

?Sustain a monthly 98% data accuracy rate as measured by Corporate Admissions Administration.

?The timely delivery of all lead and application reports as measured by Corporate Admissions Administration.

?Sustain a 100% accuracy rate regarding application processing as measured by Corporate Admissions Administration.

?Maintain favorable performance reviews as measured by the Director of Admissions.
