The Job

We are seeking an energetic and flexible Administrative Coordinator to provide administrative and clerical support for several of our executives and Human Resources. Specifically, this individual will:


? Manage Calendars. Manage the calendars of two or more busy executives.


? Make Travel Arrangements. Coordinate travel services for executives; Arrange domestic and international transportation, reserve cars, book hotels, meeting rooms, etc. as directed and in accordance with the preferences of each traveler.


? Expense Reports. Prepare expense reports for executive travelers.


? Coordinate meetings. Schedule and set up conference rooms. This involves ensuring the room is arranged as directed and that all necessary equipment (projector, VCR, etc.) is installed and in good working order in advance; Arranging for food and beverages; Generating attendee/seminar/meeting materials; Developing and maintaining database of conference arrangements for future reference.


? Assist Human Resources. Audit and reconcile monthly billing from insurance carriers; Maintain recruitment and temp reports; Order temps and reconcile weekly invoices; Conduct new Employee Orientation training sessions; Prepare reports using Excel that measure HR effectiveness; Assist with recruiting by placing ads, preparing interview guides, arranging interview schedules; Conduct background checks; Acquire candidate and new hire paperwork; Prepare new hire folders; Assist with Open Enrollment; Handle routine clerical tasks and administrative projects for executives and Human Resources as directed (e.g., copying, assembling binders, filing, acquiring supplies, etc.).


? Backup Executive Assistant. Act as backup to Executive Assistant as necessary; Provide support to Executive Office as may be needed; Relieve receptionists on an infrequent basis.


? Special Projects. Assist with other special projects as necessary, e.g., Annual Charity Golf Tournament, National Sales Meeting, Car Shows, etc.

You will need strong problem solving skills, have good judgment, be attentive to detail, and have excellent interpersonal skills. English fluency (able to speak and write concisely, with good grammar, punctuation and spelling) is required, along with the ability to adapt easily to change. In addition, we need someone who is dependable and reliable, creative, and has a sense of urgency for task completion.


This is a professional, exempt position that sometimes requires long hours. This is a great job for a self-motivated, creative individual, who works well with only general supervision and is looking for an exciting challenge in a dynamic industry.

Minimum Qualifications include the following:


? Associate's degree (A. A.) or equivalent from two-year college or technical school; or one to two years related experience and/or training; or equivalent combination of education and experience.


? Six months to one year of experience making both domestic and international travel arrangements.

? Able to be discreet and maintain confidentiality.


? Excellent command of English, including spelling, punctuation, and grammar. Ability to speak effectively before groups of employees.


? Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

? Intermediate or better skills with Excel, Word, PowerPoint, and Outlook; Prefer experience with organization charting software; Familiar with Explorer Internet software.
