ADMINISTRATIVE SPECIALIST

 

As Administrative Specialist, you will use a variety of word processing software to type letters, reports, and presentation materials; compose correspondence on own initiative for supervisors review; maintain established databases and generates reports from such data; create simple spreadsheets/graphs using departmental software; maintain supervisor's calendar, arrange appointments, and meetings and travel itineraries; answer telephone inquires, take and relay messages and greet visitors; and reconcile invoices and resolve discrepancies. In addition, you will establish/maintain departmental filing system; sort and route department mail; take/transcribe dictation, either manually or by machine, into appropriate format, correcting grammar or spelling; distribute agenda and follow up materials; and track/monitor budgets and post data to ledgers.

 

Qualified candidates must possess one to two years prior administrative/secretarial or comparable experience; Word processing speed of 35 wpm; and strong customer service skills, great critical thinking skills, be self-driven, detail oriented, and personable. . In addition, you must be able to work in a Labor/Management Partnership environment. Intermediate arithmetic, reading, and writing skills; proficiency with PC applications are preferred.
