MedStar has an excellent career opportunity for an Administrative Assistant. This essential position provides administrative support to the Senior Property Manager and Real Estate Services Department (RES).
Responsibilities:
Prepare correspondence and maintain confidential records Assist RES departmental professionals in the functions of the department Answer telephones, screen calls, handle inquiries, and provide information concerning department matters Receive, assist, and direct employees and visitors to appropriate staff members
Review, prioritize, and distribute interoffice and external mail
Maintain appointment calendar of supervisor and schedule meetings with, as requested
Ensures smooth office operations
Maintain files for the supervisor and any applicable division files
Attend designated committee/management meetings and take minutes
Distribute correspondence and handle follow-up related to the meetings, as required
Assist with development and preparation of various reports and schedules under the direction of the supervisor
Coordinate adherence to deadlines and completion of special projects, correspondence, and reports
Provide research and administrative support to special projects
Prepare data on projects and studies, such as updating procedure manuals or analyzing department activities
Assist in care and maintenance of departmental equipment and supplies
Review orders of supplies from other members of the department
Act as liaison with Purchasing Departmen
Requirements: High school graduation or equivalent, including secretarial training
At least four years secretarial experience
Excellent written and oral communications skillsability to present and communicate complex information to team and to internal clientele, solid proofreading skills
Display initiative and follow-up skills, high attention to detail, adherence to deadlines and strong problem-solving skills
Strong organizational ability
Must have very strong computer skills, including the Microsoft suite (Word, databases and PowerPoint)
Ability to work collaboratively with team, as well as an independent contributor
