Job Description


Incumbent will work as part of a team to provide administrative support to the Sarasot District Office.



Responsibilities include:
? Achieve improchieve improved client and associate satisfaction through daily Sarasota District office reception duties. Greet clients, associates, and personnel in a positive, upbeat manner. Answer incoming calls, transfer calls, schedule conference rooms, provide enhanced service, perform general reception duties and create an atmosphere of professionalism within our Sarasota District office. Assign phone extension numbers and voice mail through the phone system as requested each month.
? Provide mailroom support for the Sarasota District office, ensuring total coordination, accuracy and timeliness in mail delivery and pickup on a daily basis and the distribution of associate commission checks on a weekly basis.
? Maintain supplies of applications, prospectuses, forms and brochures and provide limited quantities to Associates. Maintain basic supplies by having available white and colored copy paper, printer cartridges, toner and staples for office fax and copy machines. Maintain envelopes for US Mail, DHL/Airborne, and postage. Assure staff and upper management that requested supply orders if not in stock, are ordered to be delivered the next day.
? Support recruiting initiatives. Obtains from Internet financial planner resumes for District Manager(s). Responds to candidates through written or verbal communication per District Manager(s) direction. Places advertisements for recruiting at VPs discretion (with Branch approval). Coordinates recruiting trade shows, college on-campus recruiting, career fairs and posts on-line job openings.
? Provide support on hiring for the new associates located in the detached office on a daily basis. This includes ensuring that the District is following published guidelines (use applicant tracking, send no-thanks letters, sponsor or withdraw associates, etc) and working with the BLC or BOM immediately when any concerns are identified.
? Support District Manager(s) and Compliance Department in daily compliance supervision activities, and maintenance of Florida Recordkeeping.
? Support District Manager(s) with daily district administration, including management of activities and appointments, and prepare and distribute district communications and materials for meetings.
? Provide guidance and act as information source to Associates in their day-to-day activities and inquires such as new business concerns, basic workstation application instruction, and basic office procedure and policies. Provide building access cards and office keys to new Associates.
? Assist team members/management with overflow and/or deadlines.

Requirements
? 3 years administrative assistant experience
? Proficient with Word & Excel
? Excellent communication skills (oral and written) with the ability to interact with all levels of the organization effectively
? Ability to work in a fast-paced environment and handle multiple tasks
? Excellent organizational and follow-up skills with a high degree of attention to detail
