Administrative Assistant - Communications

Job Description:

 

Performs a range of administrative and assistant level tasks in support of the entire media and communications team

 

Principal Accountabilities:

 

?  Field communications and  media calls

?  Maintain AICPA News Update Mailbox. Coordinate add/drop list.

?  Respond to inquiries from internal/external customers

?  Distribute mail

?  Report to Communications Administrator all activities between AICPA and agency vendors including distribution of information, coordination of schedules, and timely payment of invoices

?  Enter requisitions for purchase orders, receive shipments and process payments with MSP system. Maintain vendor-related accounts payable information

?  Maintain calendar of appointments. Schedule meetings and travel itineraries, and coordinate related arrangements

?  Operate PC equipment to prepare tables, charts, letters, memoranda, reports and other material with speed and accuracy

?  Set up and maintain filing systems for various periodicals and documents

?  Share administrative workload with team members regarding customer service

?  Maintain Money Management mailing list, format and distribute columns in timely fashion every month

?  Order and manage office supplies and physical resources.

?  Distribute articles/newsletters to lists

?  Staff meeting set-up, summaries and status reports

?  Meeting Set-Up: Photocopy, prepare materials, and oversee distribution to meeting site; set up room, AV, supplies, other materials for meetings

?  Coordinate SS FOOD group meeting-arranging room requirements, AV, lunches, food breaks and dinner

?  Assist in handling various details for Interchange conference

?  Food, Hotel, Travel arrangements for all in-house and external meetings

?  Format speeches to ensure they are consistent with others on the CPA Marketing Tool Kit.

?  Perform special projects on an as needed basis

 

Qualifications, Knowledge and Skills Required:

 

?  Minimum four years college education

?  Minimum 3-5 years of experience

?  Strong interpersonal, organizational and communication skills

?  Ability to write basic memos and proofread documents

?  Strong customer service skills

?  Knowledge of Word, Excel and PowerPoint

?  Knowledge of Microsoft Project and graphics programs highly desirable

?  Focused on details and follow-up requirements

?  Requires ability to organize work, maintain schedules and provide information

?  Understanding of the department operating plan

?  Ability to take direction and provide support to a wide range of team members with different roles/reponsibilities

?  Must be a self-starter with ability to multitask and stay on deadlines without intensive supervision

?  Flexibility to support multiple assignments and shift priorities when needed
