Administrative Assistant, Executive Office

MedRisk?s model is uniquely suited to payers and providers dealing with today?s tighter margins and higher service expectations.
MedRisk has an immediate need for an Administrative Assistant. The Administrative Assistant is a member of the Executive Office and will provide administrative support to the Chief Operating Officer and Vice President of Marketing and Development.
Important qualifications include high work standards, ability to set priorities and balance competing demands, strong project management, diplomatic and interpersonal skills, initiative, attention to detail, mature judgment, creativity and the discretion to handle confidential information.
The Administrative Assistant, Executive Office will report to the Executive Assistant, President?s Office.
Position Responsibilities Handle administrative functions for the Chief Operating Officer and Vice President of Marketing and Development including drafting, typing and proofreading correspondence; answering telephones; preparing expense reports; coordinating internal and external mail; distributing documents; copying; faxing and maintaining confidential information and general filing. Schedule internal and external meetings including conference calls. Maintain and keep appointments up-to-date on electronic calendar. Arrange for equipment and any refreshments as necessary. As required, research and organize background materials in advance of scheduled meetings. Arrange travel and other meeting accommodations including airline, train, hotel and rental car reservations through direct purchase on the Internet or by phone. Prepare detailed itinerary for each traveler and print any required boarding passes before trips. Assist with the preparation of reports or client presentations, using Power Point, Excel, etc. Assist COO and VP with follow-up from direct reports. Assist VP with annual performance review process, ensuring that they are conducted in a timely fashion. Serve as back-up to the Executive Assistant, President?s Office.
Requirements At least three years of experience as an administrative assistant or executive secretary. Strong interpersonal skills, including relationship management, tactful negotiation and diplomacy. Maintains a customer service demeanor at all times. Ability to develop strong working relationships among internal staff and external constituents. Skilled at arranging meetings and making travel arrangements. Ability to anticipate needs and be proactive. Self-disciplined to meet deadlines and strong work ethic. Excellent verbal and written communications skills and ability to express oneself concisely. Clear and direct communication style so that sensitive situations and complex tasks are handled discretely, effectively and efficiently. Strong organizational skills, including the ability to set priorities, juggle multiple tasks, organize time, conduct simple research and identify resources for projects in a fast-paced, dynamic environment. Experience managing projects. High detail orientation. Monitors and double checks work and information for accuracy and quality. Demonstrated proficiency in the use of office and word processing software, databases, spreadsheets and electronic calendars. Knowledge of Microsoft programs including Word, Excel, Access, PowerPoint and Outlook is required. Familiarity with Microsoft Project would be a plus.
