Administrative Assistant - Fixed Income
Job Description: PRIMARY PURPOSE OF THE POSITION:
In this highly visible position, the individual is proactive and responsible for working independently as the primary liaison for several investment professionals and represents them to a diverse group of internal and external contacts. The individual leverages the executive's time by managing the day-to-day activities and acts as the intermediary on his/her behalf. The individual works independently with very limited direction and possesses a thorough knowledge of the organization and the activities associated with the investment process.
PRINCIPAL RESPONSIBILITIES:
1. Leverage the executive's time by performing administrative duties related to the scope of the executive's responsibilities. Schedule appointments, prepare correspondence, coordinate catering requests, compile agendas, screen calls and visitors, coordinate travel arrangements and process expense reports. Responsible for coordinating both internal and external meetings, maintain calendars, and maintain filing and organization of other critical documents.
2. Manage information flow. Coordinate appropriate materials for meetings, appointments and presentations. Bring to the executive's attention only those matters for which they need to be informed of and require immediate attention.
3. Assist in special and ad-hoc projects related to division and/or corporate activities. Work at times may be complex, cyclical, sensitive and highly confidential in nature and based on an in-depth knowledge of the investment processes, product development, client relationships, and personnel matters. Some projects may require the individual to take the lead role in managing a process.
4. Foster successful relationships through direct interaction with peers and others. Partner with management to build a collaborative working environment while promoting leadership, exercising good judgment and professionalism. At times, may be asked to represent executive to a diverse group of internal and external contacts.
5. Works collaboratively to ensure that seamless back-up support is provided to the investment staff executives. May take a lead role in the absence of the supervisor to ensure the appropriate coverage needs are met. Identifies opportunities to improve and streamline the quality and efficiency of work and aid management in the implementation of organizational change. Be a role model and mentor to associates.
6. Compile, create and maintain various reports, databases and charts using software applications that may require an advanced level of knowledge?may be called upon as a resident subject matter expert to provide guidance to others by answering technical questions.
QUALIFICATIONS:
* College degree or a high school diploma/equivalent with a minimum of two years related work experience
* Executive or senior level administrative /project management experience in a business environment
* Strong customer service, interpersonal, leadership skills
* Self-directed and able to perform assignments independently; demonstrates pro-active approach and is flexible with change
* Advanced knowledge of technical applications
* Ability to multitask and prioritize workload
* Five plus years of experience in a fast-paced office environment preferred
