Responsibilities:
Under limited supervision performs advanced secretarial and complex clerical and administrative duties for VP or Directors of a department and/or cross geographic and business locations. Assignments generally involve work of a confidential nature and ideally require a thorough knowledge of the practices and procedures of the function, company products, policies and programs.
Responsibilities are as follows:
Assembles and analyze information; prepares reports, manuals, agenda, correspondence and memorandum as guided by general company practice. Answers mail and a variety of inquiries. Arranges and makes notifications of appointments and travel reservations/arrangements. Co-ordinates activities across departments and follows up to ensure that requests are carried out. Answers telephone calls, tactfully handles inquires and transfers calls to appropriate party. Checks and processes expense reports. Facilitates decision making. Produces graphics for presentations. Prepares materials in final form from rough drafts which contains technical terminology. Plans layouts of reports, tables and presentations. Operates general office equipment. Interfaces with other assistants to share and coordinate workload. Capability to multi-task in a changing and fast pace environment. Support of other department heads located in Tarrytown and remotely.
Skills:
Highly proficient in PC applications, (MS Office Suite- Word, Excel & PowerPoint) Access knowledge may vary by department.
Strong Organization Skills, Time Management Skills, Excellent verbal and written communication skills, Advanced grammar & spelling, Team player, able to work independently
Education & Typical Experience:
Typical education would be a High School or Vocational School in Requires a minimum of 2-years prior clerical experience, plus 5 years secretarial experience. with 3 - 6 yrs. experience.
