Brief Description:
Merrill Lynch is seeking a candidate to serve as an Administrative Assistant in New York City. The position requires a strong candidate with superior efficiency, work style and professionalism to support a Managing Director of Information Risk Management with the Global Infrastructure Solution Division. Candidate must have the ability to interface with senior executives in a fast paced environment. Should be proficient in Microsoft Word and Outlook; Excel and PowerPoint are a plus.Job Responsibilities:
Work proactively to support the Managing Director of Information Risk Management with the Global Infrastructure Solution DivisionDevelop an understanding of organizational structure and functions, in particular systems and processes utilized firm-wide by admin assistant and secretaries as well as be able to address questions and assist on projects as neededComplex Calendar maintenanceManage international & domestic travel arrangements Assist in creating and editing PowerPoint presentations as neededAssist in tracking various data in ExcelProcess expense reports on a timely basis ; correspond with accounts payable management on all requests to complete transactionHandling telephone calls (responding, screening, and delegating calls, as appropriate)Establishing and maintaining files; Coordinating conference calls and meetings; Sorting and distributing of mail and faxes, as needed; Ordering office supplies and processing invoicesAct as liaison between department and building facilities management, technology teams, etcBuild and maintain relationships with all work related personnelInteraction with all levels of executive management, support staff, clients, etc. with strictest confidence, professionalism and respect

Professional positive attitude and appearance Articulate - excellent verbal and written communication skills Excellent phone etiquette Ambitious and assertiveSelf-guidedAbility to work independently with strong administrative/problem solving skills Highly organized and able to prioritize Ability to multi-task in a highly visible fast-paced, team-oriented environment Attention to detail Ability to interface with all levels of Executive Management Ability to handle confidential matters and information Typical Hours: 8:30am-5:00pm, overtime as neededProficient in Microsoft Outlook, Word, Excel. PowerPoint is a plus
