Administrative Assistant - Legal Acquisitions
Provides administrative assistance enabling Attorneys and Paralegals to focus on legal matters and fulfill their responsibilities to management in a timely and efficient manner. Requires person qualified through training and experience to provide support to Senior Counsel and legal team. This position requires a keen understanding of, or ability to quickly learn, legal-specific administrative procedures and organizational tasks. The administrative assistant will also interact with numerous internal departments including Business Development, and Planning & Construction, as well as external clients such as outside counsel. Must be able to maintain strict confidentiality and respect attorney-client privilege. Duties & Responsibilities:Provide secretarial and administrative support to Attorneys and support team in the Acquisitions Group. This includes drafting, proofing, comparing and distributing Microsoft Office documents and department correspondence while ensuring clear content and accuracy of grammar and spelling. Also responsible for collecting signature approvals, processing invoices and wire transfers, and other tracking/reporting duties as assigned.  Prepare and maintain files and closing binders, determining proper file category and number of files required, ensuring labels provide sufficient and correct information and are consistent, ensuring files are indexed and cross-referenced, and confirming that all documentation is filed under appropriate categories. Make travel arrangements, prepare expense reports and arrange meetings, which may include ordering and setting up refreshments and/or meals, and recording minutes.
Minimum Qualifications Required -
? Associate degree or 2-year technical certificate
? 4 years of administrative and/or general office experience, preferably legal or real estate experience
? Proficiency in the use of Microsoft Office programs including Word, Excel, Outlook and PowerPoint as well as Adobe Acrobat Professional
?Excellent organizational skills
? Strong oral and written communication skills
? Ability to deal with senior management in professional manner
? Ability to handle multiple tasks
? Must be able to proofread with accuracy
? Must know how to operate standard office machines
? Must be equally prepared to follow directions, work independently and participate in team endeavors
? Have, or be able to readily develop, understanding of real estate acquisitions and legal procedures
? Must be able to maintain strict confidentiality and respect the attorney-client privilege
Preferred Qualifications —
Experience working in corporate office environment is helpful.
