Administrative Assistant - Membership & Sales

The Girl Scout Council of Orange County has an immediate opening for an Administrative Assistant to Memership and Sales. This is a full time position reporting directly to the Sr. Director of Membership and Sales. The ideal candidate will provide administrative services for Membership and Sales. Performs confidential administrative functions for the Senior Director. Provides support to unit managers reporting to the Sr. Director to include clerical and administrative duties and maintenance of spreadsheets, copying, faxing and ordering.

Principal Duties:Assists the Sr. Director with the day to day departmental operationAssists with scheduling meetings, coordinating time, location and participantsAttends meetings as needed and takes necessary notes and/or minutesMaintains all central management reports and subject files relating to departmentMaintains historical membership and sales reports, monthly expense detail ledgers and attendance records for Sr. DirectorPrepares, creates documents and presentations, mail merges, creates charts, graphs, forms and spreadsheets. Prepares PowerPoint presentationsMaintains confidentiality and protects all related recordsHandles phone queries relating to membership/sales,refers calls as appropriatePerforms other duties as assigned to include retail sales emergency back-upSupports the Council's affirmative action policy and commitment to pluralism and valuing diversity

QUALIFICATIONS:3-5 years experience as an Administrative Assistant or equivalent positionExcellent organizational and time management skillsProficient in MS Word, Publisher, Outlook, Excel, PowerPointExcellent verbal and written communication skillsAbility to compose correspondence independentlyAbility to maintain multiple calendarsBi-lingual Spanish a plusMust demonstrate poise, use tact and diplomacy and maintain high level of professionalismAbility to work flexible schedule to include some evenings and weekendsHave reliable transportationAbility to walk continuously for extended periods of time, climb stairs, lift between 25-40lbsWillingness to work with persons regardless of age, race, disability, religion, ethnic or socio-economic backgroundWillingness to accept beliefs and principles of the Girl Scout Movement
