Administrative Assistant/ Office Mananger

Gehan Homes is a Top 100 Home Builder.  We are looking for an energetic, polished Assistant for our new Dallas Division President.  The successful candidate will be very detail oriented and present him or herself in a diplomatic and professional manner.

 

Job Purpose:

 

Supports Division President by providing administrative support; completing special projects; working as liaison to the Corporate HR team.


Duties:

 

* Contributes to the effectiveness of the Division President by responding to inquiries in person or in writing on behalf of the Division President; Conserves Division Presidents time by reading, researching, reviewing, verifying, and routing correspondence, reports and documents; drafting letters and documents; collecting and analyzing information; initiating telecommunications; organizing conferences, and meetings; scheduling special functions; coordinating preparation of charts, graphs, and other reports; preparing expense reports.


* Maintains Division President's calendar by planning and scheduling conferences, meetings and travel.

 

* Represents Division President by communicating and obtaining information; following-up on delegated assignments; knowing when to act and when to refer matters to Division President; facilitating communication to/from the Division President and the divisional staff.


* Works with Corporate HR department and acts HR liaison to division. Maintains human resources reports by tracking division new hires, transfers, terminations, changes in job classifications, tracking vacation, sick, and personal time.

* Orients new division employees by providing orientation information packets; reviewing company policies; gathering withholding and other payroll information; explaining and obtaining signatures for benefit programs.

* Documents human resource actions by completing forms, reports, logs, and records.

* Supports the disaster preparedness committee by attending regular and special meetings; coordinating committee activities as assigned; collaborating with departments on the development/revision of disaster preparedness plans.


 

* Maintains quality results by establishing, following, and enforcing standards.
