Administrative Assistant- Reg. Affairs

Summary Provide high-level, comprehensive administrative support to the Vice President, Regulatory Affairs, as required. Job duties include phone coverage, documentation preparation and correspondence, maintaining filing systems, electronic calendar and meeting management, expense reports processing, and special projects.

Essential Duties and Responsibilities include the following. Other duties may be assigned. Provide general administrative support, including phone coverage, mail, photocopying, faxing, internet data searches.Handle electronic scheduling, meetings, events, interviews, appointments, calendar, and travel/lodging arrangements.Compose, edit, and proofread correspondence, memorandums, spreadsheets and reports.Receive and screen communications including telephone calls and e-mail messages.  Prioritize, channel, and facilitate communication from both external and internal contacts.Prepare a range of administrative documents, including presentations, requisitions and expense reports.Establish, maintain, and update files, databases, records, and/or other documents; develop and maintains data, and perform routine analyses and calculations in the processing of data for recurring internal reports.Education and/or ExperienceHigh School diploma, vocational school or equivalent, some college preferred.  Three to five years minimum related work experience. 

To perform this job successfully, an individual should have:

? Strong prioritization, organizational and coordination skills. 

? Must be detail oriented with strong interpersonal skills, team player.Ability to communicate effectively, both orally and in writing.Well skilled in Microsoft Office software including Word, Excel spreadsheets and Power Point presentations.Prior experience with Lotus notes, screening emails and classifying important/high priority issues.Ability to work well with all levels of internal management and staff, as well as outside clients and vendors.Ability to use independent discretion, and to handle confidential information with professionalism.Ability to function effectively in fast paced, dynamic environment.
