Sales Administrative Assistant, Central VA Service Group

 



Primary Function:

 

A.  Assist with the preparation of proposals.

 

B. Plan, coordinate, and assist with Maintenance Management.

 

C. Assist with maintenance agreement and setup paperwork as well as other miscellaneous administrative tasks.

 

D. Core Responsibility ? Renewal Maintenance

 

 

Requirements:

 

o  Focus and orientation for keeping proposals and setups flowing through our system.

o  Ability to handle day-to-day administrative tasks relating to work assignments.

o  Ability to deal diplomatically and effectively with internal and external customers. 

o  Capable of handling a dynamic and fast paced workload. 

o  Excellent administrative, organizational and analytical skills. 

o  Ability to coordinate and perform multiple activities in a timely manner.

o  Normal administrative experience in the same field for one year. 

o  General knowledge of Microsoft Office products such as Word, Excel and Powerpoint as well as contact data tools such as Contactwise.

 

Specific Duties:

 

1.  Assist with reviewing and preparing proposals for sales purposes.

2.  Keep paperwork organized for various types of projects.

3.  Become proficient at retrieving data from PENTA for MA?s and for entering data into PENTA for job setups (ie. issue purchase orders) as backup to the Inside Sales Assistants.

4.  Assist with putting the complete MA together upon award.

5.  Assist with gathering information or researching problems on projects assigned by the Supervisor, Inside Sales Team.

6.  Assist with updating prospect and customer information in Contactwise or other contact databases as required.

7.  Prepare MA analysis 120 days in advance of contract renewals to be reviewed by sales.  After the analysis is reviewed, revised and approved by Sales, Operations and Sales Management, send the renewal letter or revised proposal 60-90 days prior to renewal date.  Once the renewal is accepted by the customer, update tasking information and process for PENTA entry by the Contract Administrator, preferably 30 days prior to the renewal date.

 



8.  Assist with the development of major proposals and presentations.

9.  Assist with overflow work as requested by the Supervisor, Inside Sales Team.

10.  Attend various Service Sales meeting and functions as directed by the Director of Sales and/or the Supervisor, Inside Sales Team.

11.  Perform additional assignments as required by the Director of Sales and/or Supervisor, Inside Sales Team.
