Administrative Assistant / Sr. Admin. Assistant (Trading)

Shell Trading Services Company is currently seeking an Administrative Assistant / Sr. Administrative Assistant for its Houston, Texas location.
Responsibilities:
In this position, you will be responsible for providing administrative support to the STUSCo commercial groups including Crude Trading, Products Trading, Risk Control, and Commercial Operations.
Key accountabilities include:
- Maintaining and distributing contact lists / directories
- Arranging conference calls
- Preparing, processing for release and disseminate correspondence, including letters, documents, packages, etc
- Making travel arrangements for department employees as required, including ticketing, accommodations, and ground transportation
- Maintaining and distributing vacation/absence reports for assigned groups in Shell People
- Creating and/or editing presentations, spreadsheets and other documents, as required
- Preparing and/or consolidating department adminsitrative reports, such as status reports, as required
- Maintaining department administrative files
- Scheduling meetings, including special events
- Reviewing invoices for accuracy, code and process via eCap, submit to Accounting for payment; follow-up where necessary
- Providing support to department in preparation and filing of Expense Reports
- Managing procurement and distribution of office supplies
- Providing onboarding support for new hires (permanent and contractor)
- Maintaining Office Emergency Action Plans for supported groups
- Working with a team of three other administrative support staff to ensure proper coverage of commercial groups
Requirements:
To be considered for this position, you must posses a previous experience in an administrative support role.
