Administrative Assistant (TSS)-005M9

Description Administrative Assistant(IT) performs various administrative and engagement-detailed work of a responsible nature to support client-serving partner(s) and other key management personnel. This professional handles differing situations, problems and deviations in the work of the department or work unit according to general instructions, priorities, policies and program goals. This individual also serves as a facilitator who may coordinate deadlines and either handles them directly or, through others, handles project coordination and completion.

Responsibilities
Work on document preparation and management including formatting and editing letters, reports and all other correspondence from the draft stage to client-ready work.

Maintain client engagement document control by establishing and implementing filing system policies and procedures for meeting minutes and the project library.

Understand services that the firm/practice provides and add value through recognizing clients and client-serving personnel, and understanding the work that the engagement/practice does and how they do it.

Handle standard and non-routine engagement administration tasks and related communications with clients.

Act as a liaison between senior management and clients/colleagues to facilitate work and accomplish objectives in a collaborative effort.

Assist with analyzing the engagement status, tracking special billing and coordinating report discrepancy resolutions with minimal to no guidance.

Coordinate and make arrangements for conferences, meetings and events.

Understand and utilize firm-standard technical equipment, including MS Word, Excel, PowerPoint, Lotus Notes and other relevant software.

Manage the calendar with guidance by establishing a systematic approach for oneself and others to track time commitments and the completion of tasks.

Schedule appointments with guidance, confirm changes or delays, and make necessary changes.

Coordinate and plan domestic and international travel arrangements and recommend the most cost-effective itineraries.

Qualifications

The incumbent of this position must have:

Education:
- a Bachelor's degree in a related discipline, or equivalent work experience

Experience:
-3-5 years of related experience

Skills:
- effective interpersonal and communication skills and the ability to interface with personnel at all levels, both orally and in writing
- the ability to improve standardized best practices and service deliveries to accomplish firm, group, customer and/or individual goals
- the ability to meet new challenges with an open mind and an optimistic response and take initiative by anticipating customer needs and completing

assignments without request or discretion; an understanding and demonstration of firm values
- a full working knowledge of the firm's structure, key personnel and organizational policies and procedures, in addition to a functional knowledge of a

professional services environment
- the ability to successfully manage and coordinate simultaneous projects with multiple-level tasks and functions independently, while exercising good

judgment
- proficiency in the use of standardized software and hardware applications, including MS Word, Excel, PowerPoint and Lotus Notes

This professional must be available for overtime, as needed, and must have an excellent attendance and punctuality record.
