GENERAL SUMMARY:
This position will require an individual capable of providing administrative assistance to eight Executives relative to the various operating needs of the Tax Services Group within the Oak Brook Office, including organizational, people services, performance and career management, sales administration, budgeting, financial, billing, scheduling, reporting and goal planning efforts.

This individual must be knowledgeable of tax and financial terminology, able to prioritize multiple tasks in a fast-paced environment, be highly motivated, a self-starter, work independently, and have advanced typing skills with a high level of focus on quality and accuracy.


RESPONSIBILITIES:
Ability to handle key assignments of confidential nature and maintain highly confidential information.

Use extensive knowledge of the Executive's priorities and business practices to proactively respond to daily issues and requests as authorized, keeping Executive apprised of critical issues.

Handle incoming phone calls and communication, including responses and follow up.

Provide calendar management, including administration, scheduling, communication and follow up activities.

Coordinate all travel related arrangements by anticipating needs based on calendar management.

Plan, coordinate and participate in meetings, including scheduling and communication, maintaining information and preparing and distributing materials, taking minutes and following up on action items.

Develop, edit and format memos, letters, proposals, project resumes, PowerPoint presentations, reports and coordinate distribution.

Prepare and distribute various types of Firmwide reports.

Research information using various Internet search engines and research sites.

Handle data entry scheduling administration and prepare related reporting, including analysis and assisting with capacity management.

Review staff weekly timesheets and expenses.

Assist with sales and marketing administration, including proposal research, project resume gathering, client relationship data management, forecasting and pipeline reporting and meetings, collateral, activities and giveaways.

Responsible for document management and database maintenance.

Assist with tax return coordination including processing and delivery to tax preparers.

Provide billing support to include preparing and submitting pre-bills.

Prepare client engagement forms.

Handle business unit related invoice accounts payable coding and tracking and the review and reconciliation of these expenses against the financials utilizing GL detail.

Maintain efficient filing systems for operating and administrative files and contracts.

Manage various projects from start to finish using Microsoft software and other database or web based applications including working with others to ensure quality and timely completion.

Assist with annual budgeting, including data entry, forecasting and analysis.


KNOWLEDGE, SKILLS AND ABILITIES:
Minimum of five years prior administrative assistant work experience in a professional services financial or accounting environment.

College coursework in administration or equivalent experience required, college degree preferred.

Knowledge of financial and accounting terminology.
