We are looking for an Administrative Assistant to support five managers in the Finance business unit in our corporate office located in Irving, Texas. This is a great opportunity for an administrative professional who is looking to add immediate value by keeping this very busy department organized and running smoothly.
This position requires minimal overtime and office hours are Monday through Friday from 8 a.m. to 5 p.m.
ESSENTIAL RESPONSIBILITIES and TASKS:
Manage the corporate card reconciliation for all the Finance Managers, including re-allocating on the corporate card web system, obtaining receipts from managers, auditing statements to receipts and submitting monthly packet to the accounts payable representative.
Set up new vendors in Enterprise 8.10
Maintain the CIS invoice database for telephone invoices, expense reports, copier maintenance invoices, and any others. Index and route approvals to the appropriate manager.
Purchase and monitor on-hand inventory levels for office supplies, paper and toner. This also includes securing the inventories and ensuring proper approvals are in place prior to ordering.
Manage any issues relating to the facilities, including being the central contact for building maintenance (i.e. burned out lights, access codes to buildings, keys, etc.)
Act as the Fire Warden for the 5th floor.
Maintain the kitchen supplies including stocking refreshments, utensils and cleaning supplies.
Coordinate printer maintenance calls with approved suppliers.
Interact with all levels within the company as well as outside vendors with a sense of urgency and confidentiality.
Maintain the schedule for the 5th floor conference room.
Perform special projects as assigned by management.
MINIMUM QUALIFICATIONS:
This position requires:
High school diploma or equivalent required.
At least three years of general office administrative experience required.
Experience with managing invoices and expense reports.
Experience supporting multiple managers.
Experience with JD Edwards, but not required.
Must be proficient with Microsoft Word, Excel and Internet Explorer
Excellent written and verbal communication skills.
Excellent attention to detail.
Ability to multi-task and prioritize to meet challenging deadlines.
