Administrative Assistant for Non-Profit Organization

Position Overview:
The Administrative Assistant works directly with the New York City and National Satellite Staff to ensure the smooth day-to-day operations of the office Monday ? Friday, 9am-5pm. The Administrative Assistant will support ten NYC staff members and additional satellite staff as needed. The purpose of this position is to support the New York C-CAP staff with all of their administrative needs and to be responsible for enhancing the effectiveness and efficiency of the office?s daily operations. By fulfilling the administrative functions, the administrative assistant will contribute to the success of our organization. The Administrative Assistant will report directly to the Director of Administration.

Regular responsibilities, as well as project specific assignments, offer exposure to all areas of non-profit operations. This position is ideal for individuals interested in a career in the non-profit sector. The right candidate will combine an appreciation for the mission of C-CAP with an outstanding ability to multi-task with accuracy.

Responsibilities Include:
Manage photo, press archives and general press kit,
Coordinate meetings and update office calendar,
Manage weekly server back up.
Answer and fielding telephone calls,
Process credit card transactions,
Office reception coverage,
Secure and organize the shipment of donated food and equipment,
Order office supplies and maintaining supply inventory,
Coordinate office equipment maintenance and contracts
Coordinate and distribute office mail,
Data entry,
Filing and organizing,
Create and send large mailings,
Proofread and send correspondence (thank you letters, program materials, etc.),
Assist Director of Development and Director of Administration on annual benefit
Provide personal support to the President including correspondence, sending materials, scheduling and submitting insurance claims,
Perform other duties as required.


Additional Qualifications:
Bachelors? degree or equivalent work experience in administrative support to senior level management in corporate or nonprofit setting.

The ideal candidate will have strong organizational skills, detail orientation, excellent written and oral communication skills, and an interest in performing a critical support role in a fast-paced environment and have the ability to adapt to changing priorities.
He or she must maintain a positive and helpful attitude when facilitating the work of other staff and in interactions with members. Must possess pleasant interpersonal skills and professional demeanor. He or she must be familiar with the various computer software systems used by office staff, which currently includes (but is not limited to) Microsoft Office, File Maker Pro, Now-Up-To-Date, and others. Familiarity with databases is a big plus, as is experience with websites. He or she must be willing and able to take direction and then work independently. Flexibility within a small office is essential.

Salary starts in mid 30?s and will commensurate with experience. Generous benefit package includes full medical and dental, paid vacation and holidays.
