The Debt Capital Markets team is looking for an administrative assistant who will provide fully comprehensive secretarial/administrative support to bankers at all levels to maximize banker productivity and client service quality. Job Responsibilities:
? Interact with bankers at all levels, executive management, support staff, and clients with strictest confidence, professionalism and respect
? Manage bankers' schedules and calendars
o Schedule meetings and conference/video calls
o Reserve conference rooms, reserve food/refreshments (if necessary)
o Coordinate meeting materials, prepare and distribute agendas
o Locate and/or track bankers and be able to contact them
? Utilize Merrill Lynch technology systems to:
o Organize and coordinate domestic/international travel, provide itineraries, and reconfirm reservations
o Process expenses and respond to late payment reminders and discrepancies
o Track location of banker?s whereabouts and client calling activities for tax and internal reporting purposes
? Provide assistance to bankers with editing presentations and documents when needed
? Provide administrative and organizational support for bankers at all levels
o Establish and maintain files
o Fax and photocopy documents as needed
o Order and organize office suppliesQualifications:
? Professional, positive attitude and demeanor
? Team Player
? Has good judgment, recognizes urgency and takes appropriate action; maintains confidentiality
? Strong work ethic, punctual, takes initiative and is a self starter and proactive thinker who has the ability to work with limited supervision
? Excellent verbal/written communication and strong interpersonal skills; Excellent phone etiquette
? Detail oriented
? Ability to multi-task, work calmly and efficiently in a highly visible fast-paced environment
? Proficient in Microsoft Outlook, Word
Education/Experience:
? Associates degree preferred but not required
? Trading Floor experience a plus
