Administrative Assistant to the President & Trade-Show Coordinator
JOB DESCRIPTION
Position: Administrative Assistant
Report to: President
President of growing international company needs an experienced Administrative Assistant who is excited about learning all aspects of the business, assisting with scheduling appointments, interacting with customers and relieving the President of work in all areas as your knowledge of the business grows.
Experience coordinating all aspects of Tradeshows helpful. Must have excellent computer skills and knowledge of Act and/or Goldmine.
Must be experienced in organizing and managing all tasks delegated by the President in a manner which exceeds standards in an efficient and profitability manner. It is helpful to have functioned in a position in which you had to think ahead of the executive.
1. Read and route incoming mail. Locate and attach appropriate file to correspondence to be answered by the President.
2. Compose and produce correspondence as directed by the President.
3. Organize and maintain file system, file correspondence and other records.
4. Answer and screen telephone calls, and arranges conference calls.
5. Coordinate the President?s schedule, make appointments, reservations and travel arrangements as directed.
6. Order and maintain supplies, and arranges for equipment maintenance.
7. Prepare outgoing mail and correspondence, including e-mail and faxes.
8. Make copies of correspondence or other printed materials as directed.
9. Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings.
10. Conduct research, compile and prepare statistical reports.
11. Greets scheduled visitors and conducts to appropriate area or person.
12. Respond to requests for input and assistance from other departments, work teams and individuals to ensure maximum quality and profitability for the company.
13. Develop and maintain a professional corporate image that is consistently customer and market directed.
14. With the President, review achievements and discuss required changes in goals or objective resulting from current plan.
15. Make arrangements, coordinate and handle all plans for trade shows.
16. Keep clear channels of communication open with fellow co-workers, management team, and customers in compliance with company guidelines.
17. Ensure all company and employee decisions are made from a point of objective analysis of situations in question.
