Administrative / Bookkeeper

Fun, small Laguna Hills bookkeeping business that specializes in nonprofit accounting is looking for an individual(s) to assist bookkeepers with bookkeeping duties and/or to provide full administrative support to the staff.  We actually have two openings, one requiring more bookkeeping/accounting experience and the other requiring more administrative experience. Applicants should be able to multi-task, be smart, enjoy numbers and take pride in their work.

 


Administrative Duties:Right hand assistant to business owner. Maintain accounts payable and accounts receivable, on-line bank and credit card reconciliations, appointment scheduling.Filing and maintaining files for clients and business in general.Software knowledge of Excel, Word, Internet, Windows and QuickBooks (helpful).Answers incoming calls and makes outgoing calls as needed.Ensures operation of equipment by keeping the owner away from them.Provides information by answering questions and requests.Maintains and orders office supplies.Completes operational requirements by scheduling and assigning administrative projects; expediting work results.Oversees overall running order of the office for effectiveness and efficiency.Prepares contracts and letters for new clients.Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.Contributes to team effort by accomplishing related results as needed.


Bookkeeping Duties:

 

Maintains records of financial transactions in QuickBooks for clients by posting transactions.

Maintains books by verifying, allocating, and posting all transactions.Reconciling of entries, both in the balance sheet and profit and loss statements.  Recording journal entries for accrual accounting.Visit clients to pick up / drop off bills weekly/monthly.Reconcile bank statements and credit card statements.Maintain historical records by filing documents. Maintain asset inventories.Prepares financial reports by collecting, analyzing, and summarizing account information and trends.
