The Administrative Business Manager provides advanced secretarial and administrative support to the Senior Director of our new Patient Care Contact Center.  Within the position the ABM handles telephone calls, schedules appointments, and makes travel arrangements.  The ABM also coordinates and prepares materials for meetings and presentations, composes correspondence, prepares reports and conducts special projects as assigned. This position also supervises and coordinates the work of other administrative and/or support staff within the organization.  Some specific details are:  

?  Leads site administrative staff to promote a working team environment and ensure best practices are shared. Tracks time off and overtime hours for administrative staff. Reports information to Payroll.

?  Manipulates data and prepares reports using spreadsheets, data bases and PowerPoint. Assists with the preparation of materials for meetings, presentations, or conferences.

?  Answer phone, screen mail, set up files and records, composes memos and correspondence for Director and/or Senior Director.

?  Sets up meetings and coordinates travel arrangements.

?  Works on special projects as assigned by Director and/or Senior Director.

?  Organizes/Manages Sr. Director?s calendar ensuring commitments are met, and projects remain within agreed timelines. Responsible for ensuring accurate documentation and communication of messages.

?  Other duties as required 

Our ideal candidate would possess the following background and skills: 

?  College degree in business administration or related field (preferred)

?  High school diploma or equivalency degree (required)

?  3-5 years of progressive secretarial work experience are a must

?  Strong organizational and time management skills

?  Excellent written and oral communication skills essential for professional phone and personal contacts. 

?  Demonstrated ability to work in a team environment. 

?  Ability to keep sensitive information confidential is critical.

?  Demonstrated expert level proficiency in Microsoft Word, Excel and PowerPoint. 

?  Familiarity with the internet and email systems required. 

?  Knowledge of business operations and policies is helpful.
