Position Title: Administrative Services Coordinator
Summary:
Provide support to Administration/Facilities, Finance, and HR in addition to supporting the Manager, Administrative Services in the general administration and facilities related operations of the company.
Essential Job Functions:
Vendor liaison to include resolution of any account billing discrepancies Coordinate and manage office equipment repair and maintenance Review, analyze and reconcile vendor purchase orders subject to Facilities/Administrative Services budgetary requirements Manage the coordination and follow-through of building maintenance and repairs through property management Maintain N30 accounts through initiation of credit to new accounts, conduct periodic credit reviews and present findings and recommendations to Controller for review and action Maintain N30 account status including tax certifications. Attend customer review meetings with Finance Assist with preparation of ?board books? and communication to board of directors? regarding meetings as well as dissemination of soft-copy board material prior to board meetings Provide back up support for Executive Administration to include but not limited to trip planning, scheduling meetings, calendar management, personnel file maintenance, HR new hire packets and benefits paperwork, enrollment and administration Update company?s organizational charts, as directed Provide back up support for Reception, to include: directing of visitors, answering phones, distribution of mail, receiving shipments, executing IT tape backup, ordering supplies, and ordering postage Responsible for Motion Intranet maintenance as it pertains to corporate updates, sales territory listings, sales territory map, as well as maintenance of the overall Intranet Maintain corporate calendar on Motion Intranet Assist in planning and coordinating company events Work independently and within a team on special projects, as requested
Experience and Education Requirements: Associates degree or equivalent combination of related training and experienceMinimum of 3-5 years related, successful experienceStrong organizational skillsProfessional demeanorAbility to interface well with all employees / departments within the CompanyAbility to handle sensitive and confidential informationAbility to perform work with continuous attention to detailExcellent verbal communication skillsAbility to work in a fast-paced environment and to use time efficiently to manage competing demandsProficiency in Microsoft Office to include Word, Excel, Power PointProficiency with VisioAbility to work with limited supervisionStrong analysis skills with the ability to provide solutions
