Administrative Services Coordinator/Receptionist
Valere Power, Inc. has an immediate opening for an Administrative Services Coordinator/Receptionist for our corporate offices located in Richardson, Texas.This position is responsible for various administrative and office services functions that are key to the professional image, operational efficiency and success of our company. Position requires a high degree of professionalism and efficiency in performing a wide variety of duties and responsibilities. Specific responsibilities include:
?Serves as the main receptionist for the Company; answers phones, greets visitors and handles all deliveries. Provides administrative support to executives.
?Coordinates the ordering of office supplies, business cards and facilities related products. Researches and recommends vendors for supplies. Coordinates repair of general office equipment (copiers, fax machines, etc.)
?Serves as first point of contact for facilities related issues. Contacts facilities vendors (electrical, plumbing, A/C, etc.) for general maintenance and repairs.
?Issues building security cards to employees; maintains database and updates security system as required. Contacts security alarm company to resolve issues and/or schedule repair of system.
Coordinates inbound and outbound mail, express mail services, courier deliveries and fax distribution.
?Maintains and updates the company telephone directory. Provides support for the company?s telephone and voice mail system, adds and deletes users, maintains and changes system recordings and voice mail boxes.
?Schedules conference rooms for employee and customer meetings.
?Coordinates travel arrangements with employees and travel agency. Schedules transportation to and from airport for employees. Coordinated the ordering of passports and visas with passport agency.
?Mails sale literature to sales distributors and customers as requested. Re-orders marketing brochures and other items as required.
?Coordinates all catering requests - weekly employee lunch and meetings.
Qualifications:
The ideal candidate should be highly professional, reliable, courteous and self motivated and should have the ability to multi task and take the initiative in a fast-paced environment. He/she will have a minimum of 2 - 4 years of directly related office management/administrative support work experience; an Associates degree is strongly preferred. Previous experience with multi-line phone system and ddemonstrated proficiency in Microsoft Office suite with an emphasis on Word, Excel and PowerPoint is required. Additional requirements include proven organizational, time management, written and verbal skills, a strong ability to prioritize and a demonstrated ability to engage and work with a variety of personalities.
Work hours are 8:00 a.m. to 5:00 p.m. with occasional overtime.
