Administrator, Certification Relations

SUMMARY
Provides services in support of the Certification Affiliate Agreements and volunteer base of certification chairpersons/exam site administrators, including researching discrepancies, problem solving, coordinating registrations, and providing/analyzing data. Assists in the development of exam sites and distribution/return of all IIA exams (CIA, CCSA, CGAP, and CFSA), while adhering to stringent exam deadlines and schedules.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Manages candidate registration lists from affiliates with agreements. Standardizes the lists. Runs queries between the lists and NetForum for accuracy checks. Monitors Customer Service and/or Information Services departments? processing of lists and returns lists to affiliates. Prepares lists for use in grading process, researches problems on lists, and makes changes based on information from affiliates. Communicates with affiliate leaders to resolve discrepancies.
Monitors the daily list of registered candidates to ensure that appropriate numbers of exams are sent to exam sites and that seating capacity is sufficient. Communicates with Certification Chairpersons to resolve discrepancies.
Maintains the exam statistics and trending analysis for affiliates. Identifies trends which involve decrease in the number of parts/candidates and works with affiliate to resolve issues. Creates/runs reports and provides data for affiliates or traveling IIA staff/volunteers.
Processes group applications ? reviewing/approving applications and related documents, as well as coordinating with Accounting, Customer Service, and/or Affiliate Relations departments regarding payment by invoice, including payment tracking and follow-up.
Processes reimbursements for site and proctor expenses once approved by Manager, Certification Relations. Sends thank you letters to proctors.
Researches and resolves registration, certificate, exam site problems and/or issues for affiliates with Certification Agreements. Serves as primary contact for Affiliate/Chapter Relations to follow-up on issues, such as registration, exam site administration, etc. Responds to candidate inquiries from Certification Chairpersons and affiliate leaders.
Acts as team lead during exam packing and exam check-in, managing the process (in conjunction with the Manager, Certification Relations), resolving discrepancies, and providing direction for personnel involved in the process. Assists in the secure delivery and receipt of exams to and from worldwide exam sites, including CIA in several languages and three specialty certifications (CCSA, CGAP, CFSA). Ensures that all exams are accounted for and returned. Scans exam papers and balances exam counts during check-in process.
Runs reports in preparation for exam mailing; provides follow-up reports for Certification Chairpersons closer to exam date (for most up-to-date lists).
Researches and resolves grading issues, i.e., parts taken but not registered, incorrect candidate numbers, incorrect languages, etc.
Coordinates candidates request for special conditions at exam sites, including tracking and follow-up with candidates and with Certification chairpersons. Responsible for learning and applying ADA or similar rules globally.
Assists with e-mail and document review.
Performs other functions and special projects as assigned by certifications management.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
Associate's degree (A.A.) or equivalent from two-year college or technical school; and two to four years related experience and/or training; or equivalent combination of education and experience. Experience with an international organization would be an asset to The IIA.
COMPUTER SKILLS
Intermediate or higher ability to work in a computerized environment with a working knowledge of Microsoft Office products. Microsoft Access skills preferred, including ability to write queries.
