Administratvie Assistant - Sports & Entertainment

SUMMARY

This position serves as the staff coordinator for 5 Show volunteer committees (more than 800 members) as well as assists the efforts of two departmental managing directors in rodeo and entertainment.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

Coordinates the activities and functions of 5 Show committees; handling correspondence, rosters, meetings and budgets.  Attends all committee meetings; keeps records and meeting minutes; interfaces with all segments of the committees.

 

Directly supports and coordinates the logistics for the annual downtown rodeo parade; 20 grand entry performances and the activities for each of 13 annual trail rides. 

 

Works with the rodeo secretary office to assist rodeo contestants in stalling, transportation and hospitality. 

 

Coordinates offers and contract processing for all entertainment engagements; maintains artist contract information, entertainment/attraction history file and handles ticket distribution for artists.

 

Assists managing director as department?s liaison to all presentation contractors and other components of the rodeo/concert presentations in Reliant Stadium (stage, backstage, lighting, sound, pyrotechnics)

 

Assists in the coordination of all onsite event presentation elements of the concerts, including security, transportation, rehearsals and production of the live event

 

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE

Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training in legal industry, entertainment industry and/or public relations.  Intermediate level PC skills to include Microsoft Word and Excel. Must be project and detail oriented with above-average proofing and editing skills.  Must also be organized, self-motivated and be able to maintain strong sense of confidentiality.

 

LANGUAGE SKILLS

Ability to read and analyze legal documents. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.  Ability to interface with entertainment personalities and agents on a professional level, as well as to interact with dignitaries, executives and officials.

ENVIRONMENT

Somewhat compact, fast-paced, project-oriented, deadline driven marketing office environment.  Team-oriented environment, at times requiring reaching, climbing, bending, extensive walking, heavy telephone usage.  Extended work hours during peak events and meeting times.
