 70% Invoice Administration ? Responsible for coding, tracking, researching and documenting procedures for a high volume of department invoices and expense report processingVerifying invoices for accuracy, filing and maintaining of bill files, tracking payments to ensure they are received in a timely manner Administration and scanning of all invoice and documentation into custome database systemResponsible for composing reimbursement letters, tracking open reimbursements, tracking organization expenses and preparing them for reimbursement at the fiscal year-end of each accountResponsible for logging expenses and fees in separate spreadsheets for each account, following up on unpaid expenses and open expenses, maintaining expense filesResponsible for copying and distributing various reports (Flash Reports) and maintaining distribution listResponsible for updating various reports such as phone lists and organization charts and distributing as appropriateProvide back-up to other administrative team members in the departmentEnsure proper telephone coverage at all times and field calls according  Complete general correspondence for external and internal clients according to standards and with accuracy  Complete travel arrangements as requested  Schedule meetings and conference rooms as requested 

 

Skills Required: 3-5 years recent relevant experience requiredIntermediate Excel, Intermediate Word, Intermediate use of Outlook (especially meeting scheduling).  OnBase is a plusStrong organizational, analytical skills and math reasoning skills required.  Project management and scanning/database administration experience a plus
