Biller/Dispatcher - Full Time

WARD TRUCKING CORPORATION:

 

Ward Trucking Corporation a leader in the transportation industry seeks a full time Biller/Dispatcher for their Altoona Office located in Altoona, PA.  Must be able to work 10PM to 6:30AM - Mon thru Fri, Biller from 10PM to 3PM, Linehaul Dispatcher 3PM to 6:30PM.

JOB TITLE: Billing / Rating Clerk

 

REPORTS TO: Lead Rate Clerk

 

OVERVIEW OF ROLE: Always services the customer first through a duel role involving accurate data entry of information from customer?s bill of lading into Ward?s freight bill system and by accurately applying rates to bills. 

 

DUTIES AND RESPONSIBILITIES:

? Accurately enter data from the customer?s bill of lading / shipping order into Ward?s freight bill system.

? Work with employees at service centers via the telephone to gain clarity on bills that may be unclear.

? Work to provide customer satisfaction by learning and understanding customer?s unique requirements in the billing process.

? Accurately rate billings subject to manual rate application by maintaining less than 0.4% error ratio to ensure customer satisfaction.

? Respond to customer and employee questions via the telephone demonstrating Ward?s standard for telephone etiquette.

? Completes assignments on a timely basis.

? Shows high level of teamwork within the Pricing Department.

? Maintain billing at 55 bills per hour and less than 1.5% error ratio.

? Maintain less than one percent rating error ratio.

? Perform other administrative duties as assigned by the Lead Rate Clerk, Rates and Audits Supervisor, Pricing Manager and/or Director of Pricing.

? Fully support all technologies and processes, introduced by Ward, that are intended to improve efficiencies and/or the customer experience.  Support would include adherence to training programs, guidelines and processes associated with these systems.

 

REQUIREMENTS:

? Must have excellent data entry skills.

? Must be proficient in business math and analytical skills.

? Must have strong organizational skills.

? Must have good verbal and written communication skills in order to effectively communicate with employees at other locations.

? Must be proficient with PC?s and have a good working knowledge of word processing and spreadsheet programs.

? Previous background of transportation industry preferred.

? Must have basic ability to use office equipment such as computer, calculator, photocopier, fax, etc.

? Must be able to work hours as needed and travel as required.

 

 

JOB TITLE: Linehaul Dispatcher

 REPORTS TO: Vice-President Fleet and Linehaul Systems

 

OVERVIEW OF ROLE:  To ensure the customer is always serviced first by coordinating efficient, necessary linehaul movements throughout the system while balancing cost and by monitoring all movements ensuring service standards are met.

 

DUTIES AND RESPONSIBILITIES:

? Work with throughput service center supervisors to coordinate their dispatches.

? Collect early linehaul reports from all service centers.

? Communicate with all outbound supervisors in an attempt to combine loads and reduce or eliminate partial loads.

? Communicate with all service centers to gather and dispense information regarding inbound loads.

? Communicate with brokers to ensure they meet inbound cut times.

? Manage breakdown situations and follow up with maintenance shop to ensure that freight on the unit is moved through to destination as quickly as possible.

? Assist in establishing an initial nightly dispatch plan.

? Modify initial linehaul plan as needed.

? Monitor outbound cut-off times to protect service.

? Monitor linehaul driver performance

? Enlist and coordinate third party carriers to move overflow loads in a cost efficient manner.

? Check trailer cubes from previous day and counsels outbound supervisors as needed to ensure loads are being built efficiently.

? Track any foreign trailers in the Ward system.

? Approve all third party carrier invoices.

? Approve and monitor all road toll invoices.

? Approve all road driver motel invoices.

? Approve road driver runs, fueling, and drop & hooks in the Kronos System.

? Track linehaul driver vacation schedules and keeps information current.

? Handle special projects as required.

? Participate in Leadership for Results process to identify and improve leadership abilities. Pursue personal development opportunities and encourage others along the same path.

? Coordinate extra linehaul runs with Brokerage and Truckload Divisions.

 

REQUIREMENTS:

? Must be self-motivated and able to work with limited supervision and limited instruction.

? Must possess strong verbal and written communication skills and the ability to work well with others.

? Must have strong problem solving and analytical skills.

? Must be willing to work flexible hours as needed.

? Basic P.C. skills in excel and word, Lotus notes experience a plus
