Construction Assistant
Kelly Services is looking for a strong Construction Administrative Assistant for a large corporation in Fort Lauderdale.
Responsibilities:
Support the daily administrative needs of the construction managers
Prepare Change Orders to City Protocol
Prepare Work Authorization Directives (WAD)
Prepare Schedule Authorization Directives (SAD)
Process RFI, RFQ, WCD
Prepare spreadsheets as required
Project set-up (filing, binders, drawings, contracts)
Distribution and reproduction of drawings, contracts, and specifications
Distribution and reproduction of general correspondence
Preparation of Monthly Project Status reports.
Pre-Construction Meetings
Schedule and notify attendees of Pre-Construction meetings
Maintain attendees list and attend meetings
Record, prepare and distribute pre-construction meeting minutes
Weekly and Monthly Construction Project Meetings for Each Project
Attend all meetings.
Schedule, record, transcribe and distribute meeting minutes.
Coordinate Field Office Requirements
Assist in the mobilization of the field offices.
Assure field offices adhere to document control requirements
De-mobilize field offices upon project completion
Provides advanced administrative and project support services to a group of professionals and management personnel. Some work may be of a proprietary or confidential nature. Requires advanced secretarial, administrative skills, and will require some decisions based upon independent judgement.Will need to work effectively as a team employee. Able to effectivley multi-task.
Advanced secretarial and administrative skills required. Advanced personal computer and software as required for the functional area and specified by the company, including Word, Excel, and PowerPoint. The ability to edit non-technical reports and presentations is desired, but not required. In depth knowledge of standard company procedures, practices, and techniques required. Familiarity/knowledge of internet/intranet required. Knowledge of copy machines, fax machines and scanners required. Expected to utilize independent judgement to adapt practices, procedures and techniques as required to accomplish duties and responsibilities of the job.
Duties and tasks are frequently nonroutine including the preparation of reports, correspondence, presentations, invoices, memos, online proofing and formatting.
- Collects, compiles and analyzes moderately complex information and data routinely or upon request.
- Prepares routine or recurring reports for management review or action.
- Arrange/Attend project meetings prepare agendas and transcribe minutes
- Arranges meetings, travel arrangements, maintains staff schedules, etc.
- Will provide back-up support other construction administrative staff.
- Sets up project binders, forms, spreadsheets and files.
- Maintains project files; prepares files, records and documents for archiving.
- May play coordination or support role for conferences, professional meetings, community events or office events.
- Resolves most problems and questions independently that normally arise day to day. May be required to recommend answers or solutions for more complex situations.
- Assists the Program personnel with preparing reports, presentations and correspondence of a nonstandard nature.
- May track project and subcontractor invoices.
- Assist in the processing of RFI's, RFQ's, Submittals, and Change Orders
