Required Skills:
Minimum of five (5) years administrative support experience in a professional office environment, reporting to multiple managers and/or departments.
2 year associates degree in related field or equivalent work experience; four (4) year college degree is desired.
High degree of proficiency in operating Microsoft Word, Excel, and PowerPoint; Access and Publisher is highly desired.
Objectives:
JOB SUMMARY
Provides administrative support to leadership team, coordinates meetings and special projects, prepares statistical reports, handles information requests, and analyzes administrative operating procedures.
Accountabilities:
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Manage calendars and travel planning for EVP and assigned Leadership team members.
Plan and execute logistics for on/offsite meetings, conferences and events including but not limited to arranging meeting rooms, coordinating travel and hotel arrangements, ordering and setting up catering, arranging for computer and/or audio-visual equipment, providing information to participants via phone, e-mail, paper, etc.
Compose and/or transcribe memos, letters, PowerPoint presentations, and other professional business documents upon request
Compile and prepare summary, statistical and written reports with varying degrees of complexity and detail for use by management
Manage team conference calls and meetings
Assist in supporting Finance and HR related projects and task as related to department; Finance: revenue renewal and annual bonus plan tracking and maintenance, Human Resources: setting up interviews, tracking committee and task force participation, preparing and distributing bonus plan documents, etc.
Assist department by coordinating office services, budget preparation, records control, client correspondence, training programs and materials, and internal/external customer service requests
Study and analyze administrative/operating procedures to improve workflow, simplify reporting procedures, or implement cost reductions; make recommendations to create new systems or revise established procedures.
Participate in general office management tasks including switchboard, office supplies and additional office coverage as needed.
