Coordinator Records Center
Position Summary:
The primary responcibilities of the Coordinator-Records Center/Branch Office Operations is to oversee the Firm's offsite records storage facilities in Columbus as well as maintaining effective and efficient operation of the Records storage function in the branch offices. In addition, this position will take a lead role in the retrieval of the Firm's active and inactive records plus the physical disposition of the Firm's inactive records maintained in the Firm's Records Center.
Job Duties:Coordinate the day-to-day operations of the Firm's and Branch Office Records Centers, including receipt, assessment and fulfillment of standard and emergency records retrieval requests. Assign and review records disposition tasks and monitors Center operations to ensure quality and excellent customer service. Ensure proper functioning of systems components, including specialized hardware, by working with departmental staff and IT. Mine ERMS and disposition system data and develop or assist with the creation of reports. Compile statistics and reports on a monthly and ad hoc basis.Substitute for staff as required and train Records Center personnel.Coordinate with VSSP personnel and/or vendors to ensure proper maintenance and repair of facilities and equipment. Manage space within the Records Center.Participate in groups and teams aimed at improving a specific business process.
Knowledge and Skills:Must be able to assess day-to-day work requirements, assign resources, and complete according to established deadlines. The ability to apply departmental policies and procedures consistently in the course of overseeing and conducting work. Advanced computer skills, including understanding and use of ERMS software, specialized label printers, and records disposition system required. Must possess solid communication, interpersonal and customer service skills. Must be teamwork, detail and deadline oriented. The ability to effectively multi-task is required.
Education and Experience:High school diploma or equivalent required. Completion of some college coursework preferred. Minimum of 2 years records management experience, preferably in a professional or legal environment. Must have a valid Ohio driver's license with a clean driving record.
