Corporate Travel Assistant

Synarc is the world's largest Central Radiology service dedicated exclusively to global clinical trials. Synarc's in-house radiologists and scientists are leading authorities in the use of medical imaging and molecular markers in drug development, and have pioneered many methods currently used in clinical trials. With eight offices around the world, Synarc currently manages over 150 clinical trials, involving more than 60,000 patients at 1,500 sites worldwide. Our services integrate all aspects of the design and execution of medical imaging and molecular markers in clinical trials across a spectrum of diseases including Oncology, Arthritis, Osteoporosis, Neurology, Orthopaedics and Cardiovascular disease.

Position: Corporate Travel Assistant
Salary: Competitive
Location: San Francisco, CA
Package: Medical, 401k, and other incentives

Responsibilities:

- Under limited supervision, books international and domestic reservations for Executives, Directors, Managers and other employees. Researches complex travel rules and regulations. Negotiates and plans group travel enterprise-wide. Assists in duties as assigned. Handles a high volume of transactions.
- Coordinate implementation of existing travel policy and agency set-up for the Company's European offices.
- Books and tickets domestic and international air, rail, car and hotel via airline computer system, Makes recommendations and offers alternative reservations.
- Investigates questions/complaints and recommends/implements resolution. Arrange group travel for business meetings which may include air, car and hotel reservations.
- Researches and evaluates air and rail tariff structures, discounts, and travel itineraries to best meet employee needs. Provides information to employees regarding passports, visas, vaccinations, foreign exchange rates, customs requirements and international driving permits. Assists with special travel requirements. Keeps an accurate record of each transaction. Prepare and send confirmation to employees.
- Reconciles corporate credit card with accounts payable, while maintaining proper paperwork with correct authorizations, on all travel requests. Checks completed documents for accuracy. Processes refunds and exchanges.
- Arranges corporate discounts with airlines and hotels both directly and in coordination with travel agency.
Other duties as assigned

Qualifications:

- Minimum of 2 years experience arranging domestic and international travel

- Preferable experience would be on both corporate and travel industry side.

- Experienced working with travel agencies, hotels, airlines, car rental, etc.

- Experienced with Worldwide travel reservation, knowledgeable about passport, visa, and foreign travel documentation and associated requirements

- Experienced reconciling corporate credit card with company authorizations

- Experienced and composed in handling refunds and last minute travel changes.

Ability to communicate and work well with diverse corporate clientele.
