DOCUMENTATION COORD
SUMMARY OF POSITION: The QA Documentation Coordinator manages all changes to Standards Documentation and will be responsible for the administrative implementation of all new items, product changes and major conversions; enters new documents and makes changes to existing documents in the documentation system, obtains approvals, and distributes documents in a controlled manner; files all documents in an organized manner to facilitate efficient and timely retrieval.
ESSENTIAL FUNCTIONS:
1) Primary responsibility is to manage all documentation associated with product changes, packaging changes and new items. Specifically; initiate, route and track the following standard documents (in priority):
a) Item Master Specification Information sheets (IMSIs) for all new and transitioning finished goods codes (8 Bytes).
b) Manufacturing Notifications (MNs) for Artwork Redesigns, New Products, Product Changes/Improvements and Product Discontinuances.
2) Work closely with R&D, Marketing, Process Engineers, Packaging Engineers, Sales, Manufacturing/QA Documentation Coordinators, Logistics Planners and Product Management groups to maintain a high level of communication and visibility to all item transitions and projects.
3) Participate in respective Team Meetings as applicable.
4) Performs audits of the documentation system at least twice a year to identify documents that need to be written, revised, or removed.
5) May perform the following as required: Type changes to formula sheets, Standard Practices Instructions (SPIs), Laboratory Procedure Instructions (LPIs), and Raw Material Purchase Specifications (RMPS), as well as initiate new documents utilizing standard formats. Submit approvals through electronic means as well as a manual routing for signatures. Issue documents in a controlled manner and properly update/maintain the Documentation System.
DEPARTMENT SPECIFIC / NON-ESSENTIAL FUNCTIONS:
1. Other duties as assigned with or without accommodation
2. Supply necessary information to interested parties
3. Update Intranet site as applicable
4. Revise product specifications as required
Requirements:
MINIMUM REQUIREMENTS:
Education required/ preferred: High School diploma required; college degree preferred
Experience: A minimum of 2-3 years related work experience
Required Skills/Qualifications: Good written and oral communication skills; strong, accurate typing skills. Interpersonal skills - able to work well with many functional groups.
Preferred Skills/Qualifications: Experience with Tyco Standard Documents, Documentum and BPCS/IMREX.
Skills/Competencies: Computer proficiency in basic Word, Excel
Other Skills: Excellent proofreading and writing skills; strong organizational skills, able to prioritize and manage multiple tasks; attention to detail. Must be able to speak, read and write the English language.
ORGANIZATIONAL RELATIONSHIPS / SCOPE:
Reports to the Document Control Supervisor
Frequent contact with all Marketing and Sales associates, Mansfield Specification Coordinators, Process Engineers, BPCS Clerk, Marketing Product Managers, Planners and other Quality Documentation Coordinators. Occasional interface with QC Lab Supervisor, R&D Project Managers, Purchasing Buyers, and Production Superintendents.
Strong and consistent follow up with cross department peers to insure timely and accurate completion of standard documents.
WORKING CONDITIONS:
1. Normal Office Conditions
2. Dusty conditions on production floor
3. Occasional overtime
