Department Coordinator

Summary

Performs a variety of general administrative tasks in support of the Member Services Department. Responsibilities include data entry, assisting with conference preparation and registration, assisting with departmental mailings, running reports and providing customer service to members and prospective members.  Essential Duties & Responsibilities Maintains/enters data into membership database. Works with others within the Member Services Department and with members and prospective members to verify information and ensure the accuracy of data. Runs regularly scheduled as well as ad-hoc reports from the database as requested by co-workers.Assists in the preparation and mailing of prospective member kits. Assists in the preparation and mailing of membership kits.Assists in the preparation and mailing of member renewal notices and various other departmental mailings.Provides miscellaneous administrative support to others within the department as needed.Assists in direct mail marketing campaigns and preparation for conferences and conventions as needed.Performs special projects and other duties as assigned.Qualifications

Team player.Education and/or Experience

High School Diploma required and some college preferred. One year of specialized meetings/membership support experience or a minimum of 2 years professional work experience desired, or equivalent combination of education and experience.  Will consider a recent college graduate with a desire to learn!

Must have intermediate to advanced skills in Word and intermediate skills in Excel.

Must have basic skill/experience with databases.

Must type minimum 45 wpm accurately.

Association experience a plus. Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to communicate clearly and effectively with phone callers and visitors.Reasoning Ability

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations. Physical Demands   

This job is sedentary in nature, i.e., the employee must exert up to 25 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time. Walking and standing are required only occasionally.

Specific vision abilities required by this job include near vision (clarity at 20 inches or less), mid-range vision (clarity at distances of more than 20 inches and less than 20 feet), Depth perception (ability to judge distance and space relationships), color vision, and ability to change focus. Approximately 70% of time is spent looking at a computer terminal.

While performing the duties of this job, the employee is regularly required to reach, talk, hear, finger, and operate a computer including performing actions with repetitive motions.
