Departmental Assistant/bilingual
Position Description: Responsible for moderately complex to complex clerical assignments where judgment is required in resolving problems and making routine recommendations. May determine methods and procedures on new assignments and may provide guidance to other nonexempt personnel. Relieves others of clerical work and minor administrative and business detail. Provides clerical support to departmental employees. Provides back-up assistance to the receptionist as needed
Position Requirements:
Must be English/Spanish bilingual
Education/certification: Graduation from high school or equivalent including or supplemented by courses in business practices, typing, and shorthand.
Completion of business school or college stenographic and business courses is preferred .
Special knowledge/skills/abilities: Knowledge of English grammar, punctuation, and spelling. Knowledge of medical terminology is preferred . Typing speed of 55 wpm with 90% or better accuracy. Effective written and oral communication skills. Ability to exercise sound and logical judgment in appropriate situations. Ability to develop, format, edit, and produce basic correspondence. Ability to use word processing equipment with Word software. Ability to use dictation equipment preferred . Ability to grasp and implement new processes and procedures. Ability to use time effectively and work within time deadlines. Ability to professionally interact with staff at all levels. Must display a professional image and demeanor at all times. Ability to respond to supervision in a positive, effective manner. Ability to promote harmony and maintain high morale of employees through effective supervision (as applicable). Ability to function effectively as a team member. Ability to handle confidential data
Minimum Experience
Three years secretarial experience is preferred .
Primary Job Responsibilities and Duties Answers telephone and gives information to caller or routes call to appropriate individual and makes telephone calls. Operates word processing equipment to compile, type, revise, combine, edit, print, and store documents such as notes, correspondence, minutes, reports, technical material, numerical data and tabular information. Works from rough draft, corrected copy, recorded voice dictation, or previous version displayed on screen. Checks completed document on screen for spelling errors, using software. Proofreads and edits document for grammar, spelling, punctuation, and format. Composes routine correspondence. Assembles and organizes materials. Schedules, plans, and coordinates appointments and meetings. Establishes and maintains records and files. Provides back-up assistance to the receptionist on an as needed basis. May receive, sort, and distribute mail. May direct or coordinate activities of other clerical personnel.
Primary Job Responsibilities and Duties, contd Determines job assignments according to workload, time constraints, and staff efficiency. Operates copying equipment to produce and distribute copies of memoranda, correspondence, or instructional material. Performs other duties as assigned.
