Dispatcher/Service Coordinator

Summary of Duties:
? Perform the duties of scheduling, dispatching and coordinating all service activity for the customers and Building Service Technicians assigned to him/her.
? Represent the company to the customer in a manner that ensures effective communications and a positive relationship.
Requirements:
? Ability to demonstrate a positive attitude at all times when dealing with customers and associates.
? Ability to work without direct supervision.
? Ability to coordinate and perform multiple activities in a timely manner.
? Ability to maintain a sense of urgency but remain calm when handling emergencies.
? Excellent administrative, organizational and analytical skills.
? Focus and orientation for growth.
Specific Duties:
? Schedule response to service calls and dispatch appropriate technicians.
? Assist with resolving customer questions or complaints with guidance from the Service Administrative Supervisor and/or the Building Service Unit Supervisor.
? Schedule inspections, dispatch appropriate technician and communicate appropriate information regarding the inspection requirements as required by the Work Request Information Sheet.
? Develop daily & weekly plans to ensure that all work is scheduled properly and that we meet our obligations to customers.
? Follow-up and ensure completion of all open tickets.
? Schedule approved quoted work and order materials necessary to complete work in a timely manner.
? Issue purchase orders for material and rental requirements as requested by field technicians and track shipment to ensure timely work completion.
? Contact the applicable Building Service Unit Supervisor when vendors are unable to provide materials within an acceptable time frame or if unable to locate proper materials.
? Provide timely response to the Customer Service Representatives regarding collection issues.
