Document Imaging Administrator (Advancement Specialist 462)

Position Information:

The Document Imaging Administrator has the primary responsibility of managing a system for the new form recognition process and basic document imaging for the Development and External Affairs division and will support the bar-coding initiative for the department.

 

Primary responsibilities include, but are not limited to:

 Setting systems and document procedures in post-implementation of the Optical Scanning (Accent Capture Product for form recognition) project; Serving as primary contact with Development Management Systems in regard to implementation of new campus- wide document imaging process; Maintaining scripts, software, scanning equipment, and barcode scanners; Developing surveys and forms for various departments across the campus; Acting as liaison to document imaging vendor and customers within DEA, especially working closely with VP?s Office, Planned Giving and Donor Relations in order to meet their scanning needs; Scanning and/ or coordinating scanning of general documents thru EC-Image system for Development and External Affairs; electronic uploads from various sources to the constituent database in support of data integrity issues; Using PeopleSoft/Oracle database as necessary to identify sources of problems and develop a resolution plan; Maintaining and updating information from a myriad of sources: directory information such as home and business address, phone, email, work experience, and degree information; service indicators, involvements, honors and awards, and other personal information; creating, marrying, divorcing, and deceasing records.

 

Qualifications:

 

Bachelor's degree is required. Graduate degree is preferred. 

 

A minimum of three years' work experience is required. A minimum of one year work experience in data management, data imaging, or information systems is strongly preferred.

 

Candidates must demonstrate strong oral, interpersonal, and written communication skills. Must also possess strong organizational skills with the ability to prioritize appropriately and meet department deadlines. Candidates must have strong analytical and problem solving skills and the ability to use proper judgment in interpreting data as well as the ability to process large amounts of data while maintaining its accuracy. Candidates must be able to work independently as well as within a team environment. Candidates must demonstrate proficiency in MS Word and Excel. Knowledge of Outlook, Internet Explorer and/or Netscape Navigator is required. Familiarity with document imaging and databases is strongly preferred. Work experience with a nonprofit or in higher education is a plus; work experience training other staff on systems or systems processes is a plus.
