We are currently seeking an Executive Assistant to join our Markets Group located in Palo Alto, CA. The Markets group defines space requirements, identifies suitable alternatives, recommends appropriate occupancy solutions, and negotiates lease and ownership terms for our tenant representation clients. Our Markets group also assists landlord/investor clients in the marketing and disposition of property for lease or sale.

EXECUTIVE ASSISTANT - Palo Alto, CA

Responsibilities:
Heavy Calendar Management
Schedule meetings and conference calls
Reserve conference rooms as required
Maintain accurate contact information
Moderate to heavy telephone activity - internal and external
Create and modify presentations using advanced level Microsoft Power Point
Process expenses using People Soft
Travel management
AV skills to include ability to run presentation and operate audio systems in conference room
Order office supplies as needed

Requirements:
Minimum of 8 years experience in senior administrative role
Strong problem-solving skills
Ability to manage multiple assignments with competing priorities
Ability to work independently without supervision and within a team
Experience in working with an Executive Management team, while using diplomacy and tact with all employees
High level of confidentiality, professionalism and flexibility required
Excellent oral and written communication skills
Computer proficiency in Microsoft Outlook and PowerPoint
